About The Position

As a Customer Service & Front Desk Assistant, you will be the first point of contact for our company, offering administrative support across the organization. You will welcome guests, greet visitors, and coordinate front-desk activities, including distributing correspondence and redirecting phone calls. This role also involves customer service duties, assisting the customer service lead with processing orders, maintaining CRM records, and collecting payments to ensure timely order shipment.

Responsibilities

  • Answer, screen and forward incoming phone calls
  • Provide basic and accurate information in-person and via phone/email
  • Receive visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Maintain front office organization, ensuring the reception area is tidy and presentable with necessary stationery and materials
  • Process phone and online orders
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk
  • Order front office supplies and keep inventory of stock
  • Perform other clerical receptionist duties such as filing, updating records, photocopying, and faxing
  • Provide sales support such as providing product information and recommending products
  • Process orders received via phone, email, and internet
  • Maintain detailed records in our CRM system
  • Help collect payment to ensure orders ship in a timely manner
