About The Position

The Ohio Department of Insurance (ODI) was established in 1872 as an agency charged with overseeing insurance regulations, enforcing statutes mandating consumer protections, educating consumers, and fostering the stability of insurance markets in Ohio. Today, the mission of the Ohio Department of Insurance is to provide consumer protection through education and fair but vigilant regulation while promoting a stable and competitive environment for insurers. This position acts as the Department’s primary Front Desk Receptionist, managing the Department’s Front Desk phone line, providing routine information to internal and external customers, transferring calls, greeting and directing customers, and receiving special delivery mail and/or packages. The role also performs clerical and administrative support tasks including data entry, updating reports, retrieving data, scheduling, logging and tracking information, cataloging, filing, distributing documents, scanning, imaging, and responding to inquiries. Additionally, the role involves HR duties such as participating in departmental committees, attending and coordinating departmental meetings, fairs, or other events, and receiving ongoing training.

Requirements

  • 9 mos. trg. or 9 mos. exp. in office practices & procedures
  • 9 mos. trg. or 9 mos. exp. in public relations or customer service that included techniques for handling difficult people
  • 9 mos. trg. or 9 mos. exp. in typing, keyboarding, data entry or word processing
  • 9 mos. trg. or 9 mos. exp. in operation of personal computer
  • Experience as a Front Desk Receptionist or in a similar role.
  • Experiencing answering a multiline phone system.
  • Experience with performing administrative tasks such as filing, scanning, making copies, and maintaining reports and/or records.
  • The ability to take calls in a helpful and professional manner, resolve routine complaints, and direct callers to appropriate resources.
  • A willingness to learn and collaborate with others on a variety of projects.
  • Applicants must be currently authorized to work in the United States on a full-time basis.

Responsibilities

  • Acts as the Department’s primary Front Desk Receptionist.
  • Managing the Department’s Front Desk phone line.
  • Providing routine information to internal and external customers in response to inquiries, requests and/or complaints by telephone and/or email.
  • Transferring calls to other divisions as needed, including taking voicemails and following up with customers as needed.
  • Greeting and directing customers and notifying the appropriate staff of their arrival.
  • Receiving and notifying staff of special delivery mail and/or packages.
  • Providing general information concerning agency operations and services.
  • Performs clerical and administrative support tasks.
  • Entering, updating, correcting, sending, and maintaining reports and other data.
  • Retrieving data to verify and distribute information and/or give status updates.
  • Scheduling conference rooms, appointments, and/or meetings.
  • Logging & tracking calls and/or other information.
  • Cataloging, filing, and distributing documents.
  • Scanning, imaging, and saving files in internal databases.
  • Responding verbally & in writing to inquiries from employees and the public.
  • Completes other HR duties as assigned.
  • Participating in departmental committees.
  • Attending and coordinating departmental meetings, fairs, or other events.
  • Receiving training on an ongoing basis in assigned areas.
