About The Position

Wispr Flow is building a celebrity and cultural partnership program from scratch and needs a coordinator to execute real-world tasks for these partnerships. This role is execution-heavy and offers growth potential as the program expands. The coordinator will be responsible for onboarding new evangelists, managing logistics for celebrity investors, and executing real-time cultural marketing moments. The position requires hands-on involvement in tasks such as packing boxes, booking couriers, and managing vendor relationships, with a clear path to producing larger-scale moments as the program grows.

Requirements

  • Highly organized with a strong ability to manage multiple tasks without dropping any.
  • Proficient in maintaining clean spreadsheets for budgets, trackers, and status lists.
  • Possess good taste and an eye for detail, particularly in gifting and production.
  • Proven experience as a reliable individual in executing real-world projects such as events, activations, gifting, production, or brand/partnership work.
  • Ability to move fast and operate effectively in an ambiguous, hypergrowth environment.
  • Willingness to both direct and perform tasks, from scoping builds to packing boxes.
  • Experience working across different functions (social, content, PR, partnerships, events) or the ability to quickly adapt.
  • Comfortable using freelancers and vendors to supplement capabilities.
  • Approximately 3-6 years of relevant experience, with consideration for candidates with less experience who can demonstrate successful execution.

Responsibilities

  • Manage the 'evangelist machinery' by setting up accounts, gear, and welcome packages for new evangelists.
  • Coordinate shoot dates, stage appearances, and content deadlines across different time zones.
  • Prepare and distribute briefing documents for partners before events and collect results afterward.
  • Source and produce high-end custom gifts for celebrity investors and partners, ensuring personalization.
  • Execute real-time marketing activations by quickly engaging vendors, sourcing items, and shipping gifts or setting up physical moments within a same-day or next-day timeframe.
  • Find and manage vendors, including makers, fabricators, fulfillment partners, and couriers.
  • Negotiate with vendors and manage activation budgets.
  • Assist in producing partnership moments that lack a template, from brainstorming to execution.
  • Maintain a master view of all partner activities, deadlines, budgets, and results.
  • Manage project management, analytics, and record-keeping for the program.
  • Handle day-to-day operations, including fulfillment, cross-team coordination, and operational tasks until the team expands.
