About The Position

The Administrative Assistant II position provides administrative support to the Regional Operations Support Administrator (ROSA). The position interacts routinely with Texas Department of Family and Protective Services (DFPS) staff and the general public. This position will be responsible for managing proactively a wide range of administrative duties and processes required to directly support the Regional Operations Support Administrator and other Regional Leadership when needed. This person will work multiple priority activities concurrently that require considerable coordination and follow-through to meet requirements.

Requirements

  • Graduation from high school or equivalent
  • 2 years full-time administrative support, general office, clerical experience.
  • 2 years of experience using Outlook, Excel, Word and PowerPoint.

Responsibilities

  • Prepares, types and copies correspondence, reports, forms, meeting notes, training documents and other documents to support work of the ROSA.
  • Prepares and maintains reports, leave and personnel records.
  • Functions as the timekeeper for the direct reports of the ROSA's units.
  • Develops, coordinates and maintains record keeping and filing systems for but not limited to County Staffing Contracts, MOU's, Title IV-E Program, Office space.
  • Prepares and submits all WPR's and Office Depot purchase requests for the ROSA units.
  • Answers telephone, takes messages, routes messages and provides switchboard coverage on a rotating basis.
  • Assists in planning special meetings, conferences and training sessions.
  • Coordinates travel arrangements and prepares appropriate travel voucher and forms for the ROSA and ROSA units if needed.
  • Coordinates and follow up with Random Moment Time Studies.
  • Performs other duties as assigned and required to maintain unit and management operations.
  • Promotes and demonstrates appropriate respect for cultural diversity among coworkers and all work-related contacts.
  • Attends work regularly in accordance with agency leave policy.
