About The Position

Under general supervision, performs advanced administrative assignments requiring a strong understanding of departmental operations, business practices, and organizational priorities. Provides proactive administrative support to the Seattle Market Retail Leader and Area Retail Leaders, serving as a trusted partner in managing schedules, communications, business initiatives, and day-to-day operations. Responsible for handling a high volume of competing priorities in a fast-paced environment while exercising sound judgment, maintaining confidentiality, and ensuring leaders are supported in achieving market objectives.

Requirements

  • High School Diploma, GED, or equivalent experience.
  • Minimum five years of administrative, executive assistant, or related business support experience.
  • Demonstrated ability to manage multiple priorities in a fast-paced environment.
  • Strong organizational, problem-solving, and client service skills.
  • Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
  • Excellent verbal and written communication skills.
  • Strong attention to detail, accuracy, and follow-through.
  • Ability to work independently, exercise sound judgment, and make informed decisions.
  • Proven ability to build effective working relationships across all levels of the organization.
  • Ability to maintain strict confidentiality and handle sensitive information with discretion.

Responsibilities

  • Provides proactive administrative support to retail market leadership, including calendar management, correspondence, travel arrangements, expense reporting, and meeting coordination.
  • Manages competing priorities and proactively identifies opportunities to improve leader effectiveness and operational efficiency.
  • Coordinates meetings, conference calls, leadership events, and market activities, including agenda development, meeting materials, logistics, and follow-up.
  • Reviews, prioritizes, and responds to incoming communications, requests, and business matters, exercising appropriate discretion and judgment.
  • Prepares reports, presentations, business updates, and other materials in support of leadership and strategic initiatives.
  • Supports recruiting and human capital activities, including interview scheduling, onboarding coordination, requisition administration, and time and attendance processes.
  • Processes invoices and manages vendor, contractor, and consultant payments accurately and timely.
  • Coordinates communications and deliverables across business partners, support groups, and retail leadership teams.
  • Researches, summarizes, and resolves routine and moderately complex matters with limited direction.
  • Leads or supports special projects, market initiatives, and process improvement efforts to drive greater efficiency and effectiveness.
  • Maintains confidentiality of sensitive employee, client, and business information.
