Requirements

  • High school diploma or equivalent.
  • Four (4) years of responsible administrative experience in a moderately complex office or business setting demonstrating the knowledge, skills, and abilities needed for this position.
  • Any combination of education and experience equivalent to four (4) years of experience that typically supports the knowledge, skills, and abilities needed for this position.
  • Experience performing a variety of clerical or administrative support tasks with strict deadlines in a busy business or professional setting.
  • Experience using a variety of software programs to access and input information and to complete various tasks, including coordinating schedules and maintaining calendars.
  • Experience providing customer service to a variety of individuals in challenging circumstances.
  • Experience explaining processes, procedures, or policies.
  • Skill in writing and reviewing documents for accuracy, content, grammar, and punctuation.

Nice To Haves

  • Experience communicating in Spanish is preferred but not required.

Responsibilities

  • Providing courtroom support to a judge by preparing the courtroom and daily dockets.
  • Operating and monitoring the digital recording equipment.
  • Completing log notes, and filling out forms, orders, and judgments.
  • Swearing in witnesses and jurors.
  • Processing exhibits.
  • Verifying that pleadings submitted to the court are accurate and complete.
  • Researching the status of cases.
  • Entering orders into the record.
  • Scheduling and facilitating remote hearings.
  • Acting as bailiff and watching for security concerns.
  • Performing data entry in chambers.
  • Maintaining multiple calendars.
  • Arranging for the return or disposal of exhibits.
  • Drafting letters.
  • Preparing orders.
  • Proofreading and distributing correspondence.
  • Tracking cases and documents.
  • Managing the assigned caseload.
  • Receiving and delivering files, mail, documents, and supplies.
  • Acting as the main point of contact for the office, answering customers’ questions about pending motions, outstanding rulings, and scheduled hearings.
  • Preventing ex parte contact with the judge.
  • Providing support in person, over the phone, and through email.
  • Assigned tasks may be changed to accommodate workload and organizational needs.
