About The Position

This position may be filled as a developmental underfill at the Court Operations Clerk job profile level. The Oregon Judicial Department (OJD) serves the public, and the people we serve may be facing challenging life circumstances, high levels of stress, or confusion about their next steps. The Morrow County Circuit Court in Heppner, Oregon is hiring a Court Operations Associate. A COC/COA is a great way to transition into working for the Oregon Courts.

Requirements

  • High school diploma or equivalent.
  • At least three (3) or more years of responsible experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.
  • Any combination of education and experience equivalent to three (3) years of experience that typically supports the knowledge, skills, and abilities for the position.

  • At least one (1) year of responsible clerical experience in a moderately complex office or business setting.
  • Any combination of education and experience equivalent to one (1) year of experience that typically supports the knowledge, skills, and abilities for the position.
  • Experience using a variety of software programs to access and input information and complete various tasks.
  • Experience providing customer service or explaining processes, procedures, or policies to customers.
  • Experience coordinating schedules and maintaining calendars.
  • Experience handling cash or other monetary transactions, generating receipts, and crediting accounts.

Responsibilities

  • Provide support for multiple courtrooms and judges.
  • Coordinate court cases.
  • Receive and process documents from parties and attorneys.
  • Review court paperwork.
  • Prepare a variety of correspondence and legal documents.
  • Edit documents for content and grammar.
  • Maintain multiple calendars and databases.
  • Make travel arrangements.
  • Schedule court interpreters.
  • Enter case data into our electronic case management system.
  • Help with the jury draw.
  • Send notices to potential jurors.
  • Keep a variety of jury records.
  • Inform jurors of court procedures.
  • Manage and coordinate jury trials.
  • Prepare the jury room for trials.
  • Record proceedings when court is in session.
  • Swear in witnesses.
  • Mark and maintain exhibits.
  • Maintain the security and professionalism of the courtroom as the bailiff.
  • Help attorneys and litigants with scheduling.
  • Prepare documents and forms.
  • Perform real-time data entry.
  • Coordinate remote hearings.
  • Interact with judges, attorneys, interpreters, law enforcement officers, and the public at the public service counter and over the phone.
  • Determine fees.
  • Disburse funds.
  • Initiate the collection of delinquent accounts.
  • Set up payment plans.
  • Waive fees when appropriate.
  • Prepare copies upon request.
  • Assigned tasks may be changed to accommodate workload and organizational needs.
