About The Position

The Court Administration Assistant provides administrative support in a fast-paced, high-volume work environment that requires the ability to multi-task, use strong organizational and communication skills to provide exemplary customer service, both internally and externally, ensuring that the needs of the Court are met effectively. This role involves working with Judicial Officers and various other departments daily, delivering excellent customer service by answering a high volume of questions via phone, email, and in person. Responsibilities include explaining legal filing procedures, scheduling hearings, assisting the public, law enforcement, attorneys, and other employees with locating information and documents. The position also entails performing case management functions, preparing statistical information, and general clerical duties such as photocopying, scanning, faxing, mailing, and data entry. Other duties and special projects may be assigned. The anticipated length of engagement is 2-3 months.

Requirements

  • Knowledge of principles and processes for providing customer service, including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Skill in the use of computer applications including spreadsheets, databases, and word-processing software.
  • Written and verbal communication with others to convey information effectively.
  • Providing exemplary customer service.
  • The preparation of statistical reports.
  • Ability to learn policies, procedures, and guidelines established by the Court.
  • Ability to respond courteously to the concerns of the public, attorneys, and employees.
  • Ability to use effective time management skills to handle multiple tasks at one time.
  • Ability to excel in a high-volume and time-sensitive work environment.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to understand and accurately brief oral and written instructions.
  • Ability to make sound decisions in accordance with regulations, policies, and procedures.
  • Ability to work as a member of a team with minimal supervision.
  • Two (2) years of general clerical or administrative experience.
  • High school diploma or GED.

Nice To Haves

  • Post-secondary education may substitute for the experience requirement on a year-for-year basis.
  • Time management and the ability to prioritize a variety of tasks and other specialized clerical support duties with frequent interruptions.
  • Data entry with a high degree of accuracy.
  • Attention to detail.

Responsibilities

  • Assist the general public, law enforcement agents, attorneys, and their staff, and other employees with locating information, documents, and other related materials.
  • Perform a variety of case management functions, including reviewing case status reports, Cal-Acti, and researching cases.
  • Prepare and maintain statistical information.
  • Perform general clerical duties including but not limited to photocopying, scanning, faxing, mailing, and data entry.
  • Perform other duties and special projects as assigned.
