About The Position

ESC Corporate Services Ltd. is seeking up to six (6) Corporate Services Clerks to support its continued growth. These roles are crucial for processing, organizing, and reporting due diligence searches, including conducting searches across multiple jurisdictions, reviewing results, and providing accurate reporting to clients. Internally, the position titles may vary depending on the team, such as Land Services Admin Clerk (Level 2), Search & Registration Clerk (Level 2), or Corporate Services Clerk II (Level 3). The company offers two full-time shifts (Monday-Friday, 8:00 a.m. – 4:00 p.m. or 12:00 p.m. – 8:00 p.m.) with a hybrid in-office/remote schedule, and all candidates must be available for an 8:00 a.m. – 5:00 p.m. training shift for the first few months. ESC is an experienced provider of solutions uniting public records data, customer authentication, corporate services, collateral management, asset recovery, and accounts receivable management, supporting registration, due diligence, and lending practices for clients across Canada.

Requirements

  • Must be bilingual in French and English.
  • Law Clerk Diploma or equivalent education.
  • For Corporate Services Clerk II: 3-5 years of experience working in an office or legal environment.
  • For Corporate Services Clerk I: 1-2 years of experience working in an office or legal environment.
  • Strong attention to detail with the ability to review information accurately and identify discrepancies.
  • Organization and time management skills to manage multiple files and meet service level timelines.
  • Customer service orientation with the ability to communicate clearly and professionally with clients.
  • Problem-solving skills to investigate issues and resolve client inquiries efficiently.
  • Ability to work with accuracy under pressure while handling high volumes of requests.
  • Technical aptitude with the ability to learn and navigate online platforms and registry systems.
  • Collaboration and teamwork skills to support operational workflows and cross-department coordination.

Nice To Haves

  • Experience with PPSA, Corporate & Land title registry is an asset.

Responsibilities

  • Provide clients with assistance in ordering searches including securities, PPSA, litigation, corporate searches, and NUANS requests.
  • Assist in the flow of day-to-day operations, focusing on ensuring orders are fulfilled and completed within SLAs.
  • Handle level one client escalations in your subject matter area.
  • Answer phone calls from clients, addressing questions, providing information, and explaining services and fees.
  • Provide support to clients on online platforms.
  • Follow up on files sent to ministries and agents.
  • Invoice all services rendered by the department.
  • Build deep knowledge of services offered by other departments.
  • Conduct National Land Title Registry Searches, including confirmation of title ownership, legal title descriptions, confirmation of name on land title, and other search permutations.
  • Process National PPSA (Personal Property Security Act) Fixture Filing (NOSI Process), including filing financing statements and land title forms resulting in a Notice of Security Interest (NOSI) against the subject property.
  • Process National NOSI Discharge.
