About The Position

Aston Carter is partnering with a leading organization in the AEC space to hire a Project Accounting Coordinator to support project admins and project accounting teams across the country. This role is ideal for someone who enjoys working cross-functionally, thrives in a fast-paced, team-oriented environment, and has a strong foundation in project accounting or project administration. This is a great opportunity to step into a highly collaborative, operationally critical role where you’ll gain exposure to project accounting, billing, and systems, partner closely with project and finance teams, and build skills that translate into long-term accounting or operations career growth.

Requirements

  • 1–3 years of experience in project administration/support, accounting, or a related area of work
  • Experience in AEC (Architecture, Engineering, Construction) industry - familiarity with timecards, billing, and project lifecycle processes
  • Strong proficiency in Microsoft Office including Microsoft Excel (VLOOKUPs, pivot tables, data manipulation), Outlook, & Teams
  • Strong organizational and multitasking abilities
  • Excellent communication & collaboration skills
  • Comfortable working in a highly interactive, team-facing role (not behind-the-scenes)
  • Detail-oriented with a focus on accuracy and process adherence
  • Adaptable, collaborative, and eager to learn and grow
  • Comfortable managing repetitive, process-driven tasks in a dynamic environment

Nice To Haves

  • Bachelor’s degree in Accounting, Finance, Business or related discipline preferred
  • Exposure to Infor PSA or similar systems

Responsibilities

  • Perform timecard and unitcard entry and posting
  • Manage Timecard Adjustments (TCA), including communicating instructions to employees, routing approvals as needed, and maintaining TCA audit documentation.
  • Enter timecards and TCAs for employees on leave
  • Support subcontractor processes, including attachments and accrual tracking
  • Manage the sub accrual process, including maintaining tracking forms, sending timely notification emails to Project Administrators (PAs), and reviewing and organizing submitted documentation for accounting teams.
  • Submit and track requests for new unit setups
  • Update and maintain unit cost and rate schedules
  • Set up temporary employees and consultants in PSA (Infor)
  • Conduct project hygiene reviews to ensure data accuracy and completeness
  • Respond to and resolve Jira tickets and internal system requests
  • Maintain PA calendar on SharePoint
  • Provide ongoing support to PA team
  • Assist in troubleshooting system and process issues
  • Participate in calls, Teams communication, and email correspondence
  • Contribute to miscellaneous projects and operational initiatives as needed
  • Contribute ideas to improve efficiency and workflow processes
  • Contribute to maintaining and updating standard operating procedures (SOPs)
