About The Position

Robert Half is hiring a Corporate Paralegal to join their Legal department. This role supports the provision of legal services for both corporate and litigation matters. The paralegal will manage individual functions under the supervision of lawyers and collaborate with colleagues across corporate functions. Key duties include subsidiary maintenance, license filings, preparing reports and logs, maintaining data on legal projects, conducting due diligence for acquisitions or litigation, and organizing corporate minute books.

Requirements

  • Associates Degree with Paralegal or legal secretary training.
  • 5+ years as legal secretary or paralegal.
  • Proficiency in MS Word, Excel, PowerPoint.
  • Experience with Legal database software.
  • Knowledge of basic accounting concepts.
  • Notary or ability to obtain notary license.

Responsibilities

  • Prepares state and local filings for employment licenses, dba filings, parent and subsidiary corporate filings and related correspondence with external counsel.
  • Monitors due dates and proactively gathers supporting approvals and signatures for timely filings.
  • Provides notary jurat as required on filings or arranges for notary.
  • Handles routine litigation-related correspondence with insurance brokers, external counsel, and witnesses.
  • Performs research to assist attorneys in all aspects of the company’s business and summarizes research into reports.
  • Manages projects with an attorney, organizing steps, monitoring progress, and meeting deadlines.
  • Calculates fees and handles the Accounts Payable process for filing-related fees.
  • Receives, tracks, logs, and initiates payment for invoices, including law firm invoices and legal department expenses.
  • Sets up files for new corporate or litigation matters.
  • Gathers facts and documents for claims.
  • Calendars filing deadlines for corporate filings or litigation claims.
  • Maintains and updates case or corporate information in files.
  • Gathers information for weekly, monthly, and quarterly reports and logs, updating information for the period.
  • Monitors deadlines for reports, sends prompts and reminders, or escalates to a supervisor or department lawyer.
  • Serves as the initial point of contact for data in reports to corporate services business units or external counsel.
  • Distributes reports on schedule.
