About The Position

As the Corporate Administrator, you are the first point of contact for everyone who comes to or calls our Riverside Corporate Head Office. Your goal is to ensure that everyone has a great experience and feels welcomed, respected, and at home — we are a family business founded on core values and driven by our Purpose to inspire a healthier, more compassionate world. Reporting to the Executive Assistant & Office Manager, you provide the administrative and coordination backbone that keeps our corporate office running smoothly. Through an Ownership mindset you coordinate a broad range of administrative, office, event, and marketing-support tasks that require Adaptability to changing priorities — all delivered with diplomacy and confidentiality, while helping to create a Fun environment where everyone loves coming to work. You are the engine behind a well-run office: ensuring our space, supplies, meetings, and sampling and marketing coordination are handled seamlessly, and providing logistical support to our Riverside Leadership Team (RLT) so that leaders can focus on the work that matters most.

Requirements

  • Degree/Diploma in business administration or related discipline, or an equivalent combination of education and experience
  • 3+ years related experience in a large-scale administrative and business environment
  • Fluent in English
  • Superior written and verbal communication skills with the ability to work across the full range of areas and levels of the organization
  • Strong organizational, time management, interpersonal and customer service skills with strong attention to detail
  • Expertise in the use of computers and relevant software — Microsoft Office 365 including Outlook, PowerPoint, Excel, OneDrive, Teams — and comfort leveraging Gen AI to be as productive as possible
  • Experience with virtual meeting and webinar tools such as MS Teams
  • Good problem-solving capabilities and ability to deal with a variety of situations with diplomacy and confidentiality
  • Ability to multi-task, anticipate needs, co-ordinate work with others, troubleshoot issues, and balance and adapt to changing priorities
  • Ability to foster strong working relationships with internal staff and external contacts to accomplish objectives

Responsibilities

  • Role model and bring to life at the site Riverside’s Values
  • First Point of Contact: Create a warm and welcoming environment for everyone who comes to or calls Riverside. Ensure awareness and compliance for any visitors with our Health & Safety and Food Safety practices (especially our nut-free environment). Manage phone calls and correspondence efficiently. Be the go-to contact to help guests and employees find the best person for their needs. Act as Site Ambassador, ensuring the office environment reflects Riverside’s brand and culture.
  • Office Environment & Operations: Ensure office equipment and supply needs are met and that resources are updated when needed. Support meeting and conference needs, including preparation of rooms and food ordering. Maintain a welcoming and organized office environment. Ensure written and visual communications in the office foyer are up to date and organized. Create and receive purchase orders for all office-related purchases. Partner with the Executive Assistant & Office Manager and Facilities on office readiness, amenities, and maintenance. Support credit card reconciliation for the RLT.
  • Marketing & Sales Coordination: Coordinate the ordering and shipping of product samples for sampling programs and social media / influencer needs, ensuring timeliness, accuracy, and cross-functional alignment. Maintain the marketing room — organization, cleanliness, and readiness for team use. Own a clear SWAG ordering process and maintain an organized, accessible catalogue of branded merchandise. Provide coordination support for NAKO and similar organizational activities.
  • P&V Team Member: Collaborate with the Talent Team and Business Partners to enable a great Day One experience for all new hires. As a member of the P&V Team, have awareness of all people programs and be a point of contact for employees. Provide insights and feedback to the P&V Team on opportunities for improving people programs and the work environment.
