About The Position

Reporting to the Superintendent, Site Services, this position will be a fly in- fly out 3x3 rotation based in Nunavut, Canada. The role involves assisting in the creation, updating, and improvement of preventive maintenance plans and task lists, scheduling maintenance work, and creating work orders and purchase orders. It also includes tracking task progress, assisting in the coordination and tracking of capital projects, organizing filing systems and databases, and supporting the tracking of employee attendance and leave. The position acts as a point of contact for various stakeholders and assists with expense tracking, bookkeeping, and travel arrangements.

Requirements

  • Three (3) years' experience in project administration, general facilities maintenance with exposure to Ancillary equipment.
  • A High School diploma.
  • Ability to comprehend, read, write and converse in functional English to ensure safe working conditions on site.

Nice To Haves

  • Prior work at a mine site and/or remote location with limited access to supplies and equipment is preferred.
  • Previous experience with maintenance planning systems such as SAP.

Responsibilities

  • Assist in creating, updating, and improving preventive maintenance plans and task lists to ensure effective planning and scheduling of work within need.
  • Schedule maintenance work with internal teams and external contractors, ensuring minimal disruption to operations.
  • Create work orders and purchase orders; track task progress, completion, and compliance with deadlines.
  • Assist in the coordination and tracking of capital projects, ensuring timelines, budgets, and deliverables are met.
  • Organize and manage filing systems, databases, trackers, and documentation related to maintenance activities and employee equipment allocation.
  • Support tracking of employee attendance, leave, and vacation schedules to aid in resource planning.
  • Implement a labelling system and coordinate the transfer of items from warehouse to field, ensuring accurate inventory records.
  • Prepare reports, memos, presentations, and other documentation to support the facilities and maintenance department.
  • Act as a point of contact for clients, vendors, project teams, and internal staff, relaying maintenance plans and updates.
  • Assist with expense tracking, bookkeeping, and travel arrangements for site services staff, ensuring timely and accurate processing.
