About The Position

This position will provide administrative, operations, and records management support to the Online Student Advising (OSA) Team to ensure the smooth functioning of their work with online and non-traditional student populations enrolled in certificate, undergraduate, and graduate degree programs. The position is part-time and will not exceed 30 hours per week. The schedule is flexible and will be decided upon with the Director and OSA Team. Workdays are generally Monday through Friday between the hours of 8:00 AM and 5:00 PM, however, limited weekend and evening hours may be necessary during busy periods. Once onsite training is completed, the position will be mostly remote with required visits to campus for mailings, University meetings and trainings, or for technology support purposes.

Requirements

  • Associate's degree or minimum of three years relevant work experience.
  • Experience working at an educational institution at any level (Pk-12 or Higher Education) or with records management.
  • Keen attention to detail, technology adaptability, and excellent time management skills.
  • Excellent customer service, communication, and willingness to collaborate.
  • Ability to work independently in a task-focused, deadline-oriented environment.
  • Intermediate level Microsoft Excel skills including, but not limited to, mail merge preparation, data sorting/filtering, basic formulas, and comparison tables.
  • Ability to work with confidential information with integrity and discretion.

Responsibilities

  • Supports the welcoming and onboarding of new online students. Activities include list management, assigning online student advisors in the student information system (SIS), enrolling students in Canvas orientation modules, setting up and inviting students to live virtual orientation sessions, and preparing and sending start-of-term emails. Certain tasks will be done in collaboration with the Graduate and Online Admissions team.
  • Prepares zero activity reports at the start of each eight-week term, monitors student participation in their courses throughout the terms, and assists advisors with outreach to at-risk students needing additional support.
  • Assists student advisors with paperwork and tasks such as preparing new advising worksheets, updating academic process, registering students for classes, and assisting with course planning.
  • Manages student mailings, including list and material preparation and overseeing packing and mailing, such as new student care packages, Commencement and Graduate Hooding announcements, and graduation cards.
  • Supports the OSA Team with student initiatives, including the Online Honors Program, events, peer-to-peer engagement, and e-newsletters.
  • Updates and sends the annual online student survey and assists the OSA Team with analysis of the results.
  • Processes student information in a confidential manner to ensure compliance with all Federal and state regulations, such as FERPA (Family Educational Rights and Privacy Act) and Point Park University policies and procedures.
  • Special projects or other related duties as assigned.
