About The Position

The Coordinator, Office Shared Services plays a critical role in shaping a positive and high-functioning workplace environment across multiple floors. By ensuring spaces are clean, organized, and consistently well-stocked, this role directly contributes to employee well-being, productivity, and overall engagement. Through the proactive upkeep of kitchens, meeting rooms, washrooms, and shared spaces, the incumbent helps create an environment where employees feel supported and proud of their workplace. This hands-on role also contributes to the success of internal events and provides flexible coverage across the team, ensuring a seamless and high-quality employee experience.

Requirements

  • 3 - 5 years of experience in office support, facilities, hospitality, or a related environment preferred
  • Secondary school diploma required
  • Basic familiarity with workplace health, safety, and cleanliness standards is an asset
  • Strong attention to detail and commitment to maintaining high-quality workplace standards
  • Highly organized, with the ability to manage multiple tasks and priorities in a fast-paced office environment
  • Proactive, dependable, and demonstrates a willingness to learn and take initiative
  • Strong interpersonal and communication skills, with the ability to work collaboratively and provide friendly, responsive support to employees
  • Comfortable adapting to changing priorities with guidance, and responding to day-to-day operational needs
  • Service-oriented mindset with an interest in supporting a clean, welcoming, and well-functioning workplace

Responsibilities

  • Refill and maintain coffee machines and supplies (coffee, tea, milk, sugar, etc.)
  • Clean machines, empty bins, and restock consumables
  • Monitor and troubleshoot kitchen appliances (coffee machines, microwaves, water dispensers)
  • Check and restock fridges, ensuring freshness and removing expired items
  • Ensure all kitchens are stocked with mugs, glasses, and cutlery; redistribute items as needed throughout the day
  • Replenish shared supplies (paper towels, soap, sanitizer, wipes, tissues)
  • Maintain printer and stationery stations (paper, pens, staplers, etc.)
  • Monitor inventory and report low stock or issues to reception/facilities
  • Clear and reset meeting rooms (clean surfaces, remove dishes, organize furniture)
  • Ensure meeting rooms are stocked with glassware and supplies
  • Refill water and maintain cleanliness in reception meeting rooms
  • Collect used dishes from desks and shared spaces
  • Run the Dishwashers
  • Support snack setup according to schedule
  • Maintain private washrooms (restock supplies, clean counters, monitor hygiene)
  • Refill soap, tissue, and hygiene products
  • Check fixtures (sensors, toilets, water) and report any issues
  • Perform additional garbage removal when required
  • Break down and organize recyclable materials
  • Report spills or cleaning issues promptly
  • Collect mail and operational items daily
  • Distribute supplies (e.g., tissues, wipes, sanitizers) on a scheduled basis
  • Cover reception duties during lunch hours to ensure continuous front desk support
  • Assist the Events team with room setup, turnover, and post-event clean-up
  • Support catering coordination, including setup and replenishment as needed
  • Provide ad hoc operational support to the Onboarding, Facilities, and Events teams
  • Ensure meeting rooms and shared spaces are organized, stocked, and ready for use
  • Respond to day-to-day requests to help maintain smooth office operations
