About The Position

The position supports the college’s mission by managing and administering the Foundation’s scholarship programs and related financial operations. This position plays a vital role in connecting students with educational opportunities and fostering relationships that advance donor and community engagement. Responsibilities include coordinating all aspects of the scholarship application and award processes, ensuring accuracy and compliance, and maintaining consistent communication with key stakeholders—including students, faculty and staff, donors, Foundation trustees, and community partners. Through this work, the coordinator helps enhance student success and sustain the Foundation’s commitment to promoting life, cultural, and civic enrichment across the community.

Requirements

  • Bachelor’s degree
  • Two to four years of career experience in a highly related field
  • Financial analysis skills
  • Strong interpersonal, writing, proofreading, and organizational skills
  • CRM Experience

  • Experience in management or in the role of financial analyst, accountant, or financial aid assistant
  • Working knowledge to utilize donor management software such as Raiser’s Edge, Banner Finance, Slate and NextGen Scholarship Manager
  • Degree in any Business-related field especially Accounting, Education, or Advanced Degree in Higher Education

Responsibilities

  • Manages the full scholarship and award process for the Foundation, including application creation, eligibility review, awarding, and reconciliation using Banner, Raiser’s Edge, Scholarship Manager, and Mongoose. Oversees a $700,000 endowment budget, ensures compliance with scholarship criteria, and recommends system improvements.
  • Serves as a processor for all Foundation gifts, including annual giving, special events, sponsorships, and endowments. Ensures accurate fund allocation and compliance with CASE standards and IRS regulations. Submits gift documentation to the Business Office and reviews Foundation and Advancement communications for accuracy and professionalism. Coordinates the student workers and scheduling of their work hours. Collaborates with the Assistant Director of Alumni Affairs to maintain accurate alumni and employee records in Raiser’s Edge, monitor giving activity, and support advancement reporting and analysis.
  • Supports donor cultivation, recognition, and stewardship by creating and executing scholarship stipulation agreements, publishing annual scholarship reports for major donors, and providing updates about donor-established scholarships. Maintains accurate donor and scholarship records in Scholarship Manager. Attends and support donor recognition events and related Advancement activities.
  • Prepares and submits financial reports for the Foundation and College Advancement using ARGOS, Excel, Banner Finance, and Raiser’s Edge. Reports include monthly trustee financials, the Voluntary Support for Education (VSE) report for CASE, the Foundation’s quarterly Presidential Expenditure and Private Giving reports for the Tennessee Board of Regents, and data for the Foundation’s portion of the annual IRS Form 990.
  • Participates in the cultivation, recognition, and stewardship activities of College Advancement and the Walters State Foundation. Assists in database entry with two donor management software programs as part of these processes.
  • Participates in Foundation fundraising initiatives, trustee meetings, and community engagement events, representing the Foundation both on and off campus, including occasional evening and weekend participation.
