About The Position

The University’s colleges require a specialized and hands-on approach to advancement and alumni activities. This position will be a member of the Foundation team, reporting to the Executive Director of Development assigned to the college(s), and will work to advance the priorities of the individual college and its Dean(s). The advancement coordinator will serve as the development team’s main point of contact for the work being done to advance a wide-range of fundraising and alumni relations initiatives. This position is collaborative on gifts and programming support, coordinating closely with leadership giving, alumni relations, planned giving, and faculty.

Requirements

  • This position is expected to have a high level of communication skills and the ability to work effectively with alumni and donors, through both oral and written communication.
  • Strong organizational and interpersonal skills.
  • Ability to prioritize a large workload.
  • Must be able to handle confidential material responsibly and interact professionally with a wide spectrum of individuals.
  • Event planning experience.
  • Experience with quantitative and qualitative data collection and assessment.
  • Bachelor’s Degree and 2 years experience or equivalent

Responsibilities

  • Serves as primary liaison between the college-based development team and the alumni relations team.
  • Coordinates with the alumni relations staff to ensure aligned strategies, expectations, and intended outcomes for signature alumni and college-based engagement.
  • Serves as primary liaison and coordinator for the college’s affiliated alumni chapter and groups.
  • Assist college-based development team with the identification, qualification, and stewardship process for donors.
  • Run reports, prepare briefings, and light research support for college-based development efforts.
  • Plan and execute all event details including venue, invitations, catering, volunteer management, name tags, signage, printing, etc. in coordination with the university engagement strategy.
  • Manage RSVPs and engagement tracking for donor and alumni related college events.
  • Assist in composing pre- and post-event correspondence.
  • Management of special projects as determined by college-based development team.
  • Create and coordinate content for event or college based alumni and friends communication, such as develop content for invitations, newsletters, emails, event protocol outlines and social media. Assist with proofing internal and external communication and marketing collateral.
  • Manage budgets based on cost/revenue analysis; coordinate reservations, track invoices and payment processing.
  • Use the daily transaction report and reports on recurring giving to monitor gifts to the college and thank donors in a timely manner. Coordinate with the college-based development team on gift acknowledgements.
  • Collaborate with the college-based development team, college leadership, and faculty to execute fundraising campaigns such as the annual Bronco Giving Day and periodic Pony Up campaigns.
  • Serves as primary liaison between the college-based development team and the Donor Relations team on shared events and other donor cultivation and stewardship efforts including scholarship reports for donors and donor thank you gifts, cards, etc.
  • Serves as primary liaison between the college-based development team and the donor database team to ensure compliance with Query usage and reports, data entry policies, and to obtain the lists needed for college-specific donor engagement activities.
  • Manages college-specific projects in Asana and collaborates with Marketing and Communications on college-specific events and activities.
  • Perform other duties as assigned.
