About The Position

This position is responsible for managing activities for a project or program within the Ob/Gyn-Population and Prevention department, serving the Pearland and Pasadena clinics. The role involves coordinating program activities, ensuring objectives are met, determining program methods, staffing, budget, and resources, and assessing program status. The coordinator will also delegate tasks, provide technical advice, and serve as a subject matter expert. Specific duties include confirming patient vaccination status, obtaining consent, recording patient information, collecting specimens for research, performing blood collection, preparing and storing samples, collecting contact information for patient tracking, charting vaccine information in EMR, setting up appointment reminders, scheduling/rescheduling appointments, maintaining accurate patient records, collecting and entering data into electronic databases, updating databases daily, checking clinic records for contact information, sending letters to unreachable patients, and attending weekly team meetings. The position requires travel to various local area clinics in other counties. Training will be provided, including two weeks at UTMB Galveston and completion of required internal certification.

Requirements

  • Associate's degree or equivalent and three years of related experience.
  • Bilingual (Spanish and English-speaking skills).

Nice To Haves

  • Minimum of 2 years of experience as a psychotherapist.
  • Experience providing services to patients involved in substance recovery treatment.
  • Experience with group therapy.
  • Certified Medical Assistant or LVN.
  • Strong Spanish and English-speaking skills.

Responsibilities

  • Plans, directs, and coordinates activities of a program directly related to management or general business operation.
  • Ensure the goals and objectives specified are accomplished in accordance with prescribed priorities, deadlines, and funding conditions.
  • Determines methods and procedures for the program, staffing requirements, budget, and resources.
  • Assess program status and implement appropriate actions.
  • Delegates activities of support staff.
  • Provides technical advice to assist in solving problems.
  • Serves as a resource and subject matter expert.
  • Adheres to internal controls and reporting structure.
  • Undergo 2 weeks of training at UTMB Galveston & complete required internal certification.
  • Confirm patient vaccination status, determine eligibility, and obtain consent.
  • Record names, hospital record number, address, and phone numbers of patients who receive vaccine in the clinic.
  • Collect specimens for research study.
  • Perform blood collection.
  • Prepares, stores, and transfers samples.
  • Collect contact information for at least three individuals who could reach the patient for tracking purposes.
  • Chart vaccine provided on EMR.
  • Set up phone and text reminders for the family, in their preferred language, for these appointments.
  • Schedule/reschedule appointments as needed.
  • Personally call patients to reschedule appointments.
  • Maintain accurate records of all patients approached and number of vaccines received.
  • Collect high-quality data using patient enrollment forms and EMR systems.
  • Accurately enter and validate data in an electronic database; using all data collected at UTMB, as well as from ImmTrac.
  • Accurately update all databases regarding patients on daily basis.
  • Check clinic records to update contact information as needed.
  • Send letters to patients who cannot be reached by telephone.
  • Attend weekly team meetings.
