About The Position

This role supports the VP of Events + Hospitality and the Sr. Manager, Guest Experience in the planning and execution of premium hospitality logistics and services. The position involves managing private hospitality experiences for clients, including pre-event communications, operational planning, ticket fulfillment, F&B services, and event day management. It also assists with the preplanning of hospitality contractors, project timelines, and the overall execution of premium operations for shared hospitality. The role is responsible for contracting and fulfilling assets and rental orders for hospitality spaces and villages for COTA events and major races, assisting with event design execution, collecting layouts, securing rental orders, and managing setup and strike. A key responsibility includes overseeing budget tracking for operational expenses related to major race hospitality and village areas, and assisting with project coordination for Peppermint Parkway. The position aims to ensure COTA hospitality spaces and services exceed client expectations and involves developing client relations through premium gifting and amenities. Additionally, the role assists the Manager, Guest Experience with the E+H intern program and ensures COTA standards and customer satisfaction remain high.

Requirements

  • 1-2 years’ service experience (event/entertainment industry preferred)
  • Must be open to working nights and weekends, as needed
  • Ability to work in stressful situations and remain focused
  • Ability to take direction and follow through on requests
  • Excellent interpersonal, verbal and written communication skills; ability to communicate effectively at all levels both internally and externally
  • Proficient with Excel, Outlook, and Word
  • Able to simultaneously manage a high level of detail across multiple projects
  • Able to work independently and manage time effectively
  • Able to work well within a team environment
  • Able to maintain a flexible work schedule in order to deal effectively with special event responsibilities

Responsibilities

  • Assist VP of Events + Hospitality and Sr. Manager, Guest Experience with the planning and execution of Premium Hospitality logistics + services
  • Organize experiences, events and services for MGS Suites and Loge Box clients; including client outreach and pre-event communications, operational planning, ticket fulfillment, F&B services and event day management
  • Assist with preplanning of hospitality contractors, project timelines and overall execution of premium operations
  • Assist with contracting and fulfillment of assets + rental orders for hospitality spaces and villages for COTA events and major races
  • Assists with overall operations of Event Design Execution for major races
  • Collect layouts and design plans, contract and secure rental orders, assist with setup and strike
  • Oversee budget tracking of all operational expenses pertaining to major race hospitality and village areas
  • Assist with project coordination of Peppermint Parkway – including design, budget tracking, staff planning, setup and strike
  • Ensure COTA hospitality spaces and services meet and exceed client expectations
  • Assist with and further develop Client Relations – premium gifting, thank you cards, amenities, special touches for day-to-day events
  • Assist Manager, Guest Experience with E+H intern program, coordinating daily schedules and projects
  • Ensure COTA standards and customer satisfaction levels remain high property-wide
