About The Position

The coordinator will provide assistance to local Employees, Area Management, Company personnel, and company vendors as needed on Administration duties.

Requirements

  • High School Diploma or Equivalent
  • 0-2 years practical experience as an administrative support professional in a fast-paced work environment.
  • Computer and office Software experience is required.
  • Strong knowledge of Excel formulas, pivot tables, references, and other advanced Excel functions.
  • Effective written and verbal communication skills as well as interpersonal skills to work in a collaborative environment.
  • Sense of urgency, capable of handling individual responsibility, and willingness to accept changing priorities.
  • Essential Computer usage using MS Office Suites and willingness to learn company computer management systems (SAP, APTTUS, Concur, ADP E-Time, etc.).

Nice To Haves

  • Experience in the Natural Gas/NGL/Oil industry a plus.
  • Previous Administrative skill in the Oil and Gas Industry a plus.
  • Associate or bachelor’s degree in accounting, business administration, computer operations, and/or equivalent work experience in a related field.
  • Good organizational and prioritization skills, ability to multi-task, having good communication skills dealing with internal and external customers.
  • Being highly motivated and establishing good working relationships with co-workers, Engineering, Division Staff, and vendors.
  • May be required to attend training and meetings out of town and some overnight travel away from home.

Responsibilities

  • Assist in Accounts Payable, expense reports, and purchasing card monthly reports, verifying invoice accuracy for timely payment.
  • Prepare monthly budget expenditure variance reports for local and Division Management.
  • Handle time reporting for company personnel, ensuring correct pay codes and account/work order charging.
  • Assist local management and Division/Corporate groups in preparing annual budgets and WBSs for management approval to initiate work projects.
  • Prepare monthly forecast reports and update forecasts in the company database.
  • Ensure contractors are on the Approved Vendor's listing and assist them in seeking approval if needed.
  • Work in APPTUS or Veriforce to publish Work Offers and Contracts, and monitor CT Verification reports.
  • Research past due invoices, quotes, budget issues, and work offers with vendors.
  • Assist and monitor Fleet data, working with the Fleet Department in procurement and disposal of company vehicles.
  • Assist in employee Admin Training for time reporting, invoice coding, and expense report training.
