About The Position

The Coordinator, Corporate Hospitality coordinates logistics for sports and concert events, leads the delivery of ticketing and client gifting programs, and supports onsite event execution to help ensure the seamless delivery of client and internal initiatives.

Requirements

  • Post-secondary degree or diploma in office administration, or equivalent experience to successfully complete the essential requirements of the role.
  • 2-3 years of related experience, preferably within a law firm or professional services firm.
  • Proficient in MS Office product suite.
  • Exceptional client service orientation combined with the ability to manage shifting priorities and multiple client needs at the same time.
  • Excellent communication skills (verbal and written) with the ability to interact with individuals at all levels within the organization with tact and diplomacy.
  • Strong interpersonal skills with the ability to work well both independently and collaboratively within a team environment.
  • Excellent organizational, attention to detail, and time management skills to effectively prioritize and meet tight deadlines with minimal supervision.
  • Sound judgment, including the ability to deal with confidential information with utmost discretion.
  • Flexibility to work overtime including evenings and weekends and occasional travel when required.
  • Ability to safely lift and move moderate to heavy items on an occasional basis, with support from the Facilities team when required.

Nice To Haves

  • Experience working with a CRM database (InterAction preferred) is an asset.
  • Experience working with ticketing platforms (e.g., Ticketmaster, StubHub) is an asset.

Responsibilities

  • Coordinate all aspects of sports and concert-related events, ensuring a seamless and positive experience for clients and firm members.
  • Source and secure venues and hospitality suites, arrange catering, prepare and distribute invitations, manage guest lists and RSVPs, coordinate client gifts, liaise with internal firm members and external vendors, and process event-related expenses and payments.
  • Support on-site with events, including occasional after-hours work.
  • Work closely with various firm members, including Marketing & Business Development, Human Resources, and Diversity, Equity & Inclusion teams, on the ticketing process and gifting requests, ensuring timely fulfillment.
  • Source, manage, track and negotiate memberships with the support and approval of the Manager, Events. This includes researching opportunities, managing renewals, and maintaining vendor relationships.
  • Manage the tracking for all season tickets, including client distribution, processing invoices, and reconciling ticket distribution.
  • Order, and track all client gifting needs, including firm, practice group and business development ventures.
  • Source, maintain and distribute Torys branded merchandise for client and internal events and initiatives.
  • Identify and assess new swag and gifting vendors, negotiate and manage vendor relationships, and ensure the delivery of high-quality products and services.
  • Create, develop, and manage the Torys Merchandise website, and Torys Holiday Gifting inventory.
  • Research industry trends and emerging products to identify innovative gifting and promotional merchandise opportunities that enhance the firm's brand presence.
  • Maintain standardized processes, order guidelines, and resource materials to support efficient and consistent gifting and merchandise requests across the firm.
  • Provide training to new event team members on the use of Uber platforms, client gifting, and sports ticketing processes.
  • Conduct post event reporting and analysis related to sporting events, and arts and entertainment for client hosting initiatives.
  • Participate in department projects and initiatives.
