About The Position

This position provides administrative support to the Chair and acts as an Assistant to the CEE Graduate Programs Advisor. The role involves managing graduate program applications and inquiries, overseeing student employment placements, compiling data for strategic planning and accreditation, and serving as a departmental liaison. The coordinator also manages departmental communications, including a newsletter and website, and coordinates various event functions.

Requirements

  • Bachelor's degree with 1 year of work experience.
  • Experience with newsletter publication, Facebook, email listservs and maintaining webpages.
  • Knowledge of Microsoft Office products such as WORD, Excel, PowerPoint, Microsoft Publisher and Outlook.
  • Ability to use standard office equipment such as computers, copiers, fax, calculator.
  • Valid U.S. work authorization at the time of hire and maintain that valid work authorization throughout employment.

Nice To Haves

  • Master's degree with 3 years of work experience.
  • Knowledge of ClearPoint, LSU Taskstream, University mainframe, Workday and other applicable University software programs related to performing job duties.

Responsibilities

  • Provide administrative support to the Chair.
  • Manage the creation and finalization of two issues of the CEE Departmental newsletter published on an annual basis and updating and maintaining the corresponding mailing list.
  • Manage the department website, Facebook and COE email listservs.
  • Coordinate and manage event functions such as the CEE Annual Hall of Distinction banquet, External Advisory Board meetings and Annual CEE faculty retreat.
  • Act as Graduate Programs Assistant to the Graduate Programs Advisor.
  • Oversee over 140 CEE Graduate Programs applications and inquiries.
  • Assist current graduate students with processing paperwork to meet deadlines.
  • Maintain current student files and paperwork for graduate faculty membership.
  • Manage & coordinate the annual recruitment & Graduate Student Research Conference.
  • Act as Student Employment Partner overseeing over 110 placements of graduate students on assistantships, fellowships, grants, & scholarships.
  • Supervise student workers.
  • Assist the Chair in collecting and compiling information related to Strategic Planning, SACS program assessments and ABET accreditation.
  • Manage special projects which require research and compilation of information into a standard report or document accepted by the accreditation body.
  • Act as departmental liaison between campus offices such as International Services Office, Graduate School, Payroll, Copier Management, Facility Services, Telecommunication, Parking and LSU Alumni Center.
  • Handle parking requests and telecommunication work orders and monthly distribution of telecommunication statements.
  • Serve as back up to other staff members in the department as needed.
  • Perform other duties as assigned.
