About The Position

The Convention Services Coordinator keeps group meetings, conferences, and celebrations running smoothly from “sounds great” to “nailed it.” You’ll support the Convention Services Manager by turning details into clear plans that every department can follow. You clock in on the boardwalk, check the day’s event calendar, and scan for any last-minute tweaks that popped up overnight. Between quick check-ins with sales and ops, you tidy up timelines, confirm room sets, and make sure everyone has the latest version of the plan. As groups arrive, you’re the calm, friendly point person—answering questions, redirecting a surprise request to the right team, and keeping the vibe upbeat even when schedules get tight. Later, you’ll pop into event spaces to verify everything matches what was promised, then wrap up with notes for tomorrow so the next shift starts strong.

Requirements

  • Strong knowledge of hotel departments and event flow
  • Proficiency with event software and Microsoft Office (Word, Excel, Outlook)
  • Excellent organization, multitasking, communication, and guest service
  • Flexible schedule (evenings/weekends/holidays)
  • Able to lift/move up to 50 lbs

Responsibilities

  • Coordinate logistics for meetings, banquets, and social events
  • Prepare and send Banquet Event Orders (BEOs), group resumes, and event paperwork
  • Serve as a client contact for assigned groups and communicate updates across hotel teams
  • Assist with site tours, pre-convention meetings, on-site monitoring, and post-event follow-up
  • Track changes, billing details, and maintain accurate records in Delphi/Ungerboeck (or similar)
