About The Position

This position is responsible for coordination of all aspects of the contact lens clinic under the supervision of the Clinical Management Coordinator and Contact Lens Clinic Chief. Position is responsible for technical duties of the Contact Lens Clinic, operates lens meter, provides patient services, orders and dispenses contact lenses, maintains medical supplies inventory, maintains contact lens price lists, assists in coordination of teaching workshops, and orders specialty lenses.

Requirements

Ability to read, write and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent.
Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
Knowledge and level of competency commonly associated with completion of specialized training in the field of work.
Knowledge of customer service principles and practices, and patient scheduling protocols.
Knowledge of computers and job-related software programs.
Skill in decision making and problem solving.
Skill in interpersonal relations and in dealing with the public.
Skill in oral and written communication.
Knowledge of the standards, techniques, tools, and equipment used in selecting prescribed contact lenses.
Knowledge of contact lens fitting and selection methods.
Work requires the use of protective devices such as masks, goggles, gloves, etc.

Responsibilities

Greets clinic patients and checks them in for appointments.
Provides patient services; assists students and faculty in preparing orders and in the selection of contact lenses; enters prescription, material and color information, explains upgrade choices, notifies patients when orders are ready.
Performs patient triage.
Answers telephone; provides information or assistance; refers to appropriate personnel.
Schedules patient appointments; makes follow-up appointments; reschedules appointments as needed.
Ensures continuity of care between students and patients.
Prepares patient files following appointment for medical record scanning.
Ensures all Specialty Contact Lens invoices are correct and scanned in appropriate medical record.
Enters consultation and referral requests from outside providers.
Checks out patients.
Prepares or assists students and faculty in preparing contact lens orders; enters prescriptions, material, and color information, creates patient invoices; order lenses from distributors; notifies patients when contacts are ready to be dispensed.
Makes copies and sends faxes; orders or copies clinical forms.
Maintains inventory of clinic supplies; reorders as needed, maintains stock closet.
Verifies contact lens parameters with radioscope and/or lensometer as needed; identifies engraved markings on gas-permeable contact lenses for restocking.
Maintains contact lens trial inventory and reorders as needed.
Maintains contact lens equipment; cleans modification units, re-stocks iCare probes, turns off equipment after use, and charges automatic blood pressure cuffs.
Instructs optometry students and work studies in patient care and contact lens choices; reviews policies and procedures with new students, incoming residents, and student worker.
Reviews protocols with students.
Reviews patient insurance policies for deductibles and out of pocket expenses; enters contact information and files appropriate material claims, assists in patient refund process, and requests credits for returned materials from contact lens companies.
Assists in the coordination of teaching workshops; recruits patients, and ensures proper flow and schedules.
Performs related duties as assigned.
Supervises assigned student worker(s) in contact lens clinic.
