About The Position

The Consumer Lending Operations Specialist will be responsible for preparing, reviewing, funding, and completing all Consumer Loan Transactions. Job responsibilities primarily include conducting quality assurance audits and completing after-funding job functions. These job responsibilities are completed by verifying that critical loan documents are ready and complete prior to funding, and ensuring that post-funding documentation is submitted and completed with cross-functional departments.

Requirements

  • Knowledge of Wellby’s organizational functions, and general operating policies and procedures.
  • Knowledge of general office practices and procedures, business English, spelling, and punctuation.
  • Knowledge of personal computers, utilizing Microsoft Office Suite and other software.
  • Knowledge of consumer lending regulations.
  • Knowledge of all Home Equity, Home Equity Line of Credit, Consumer Line of Credit, and Consumer Closed-End loans.
  • Skilled in operating computer equipment and general office machines such as personal computers, copiers, projection equipment, audio/video, Microsoft Teams, Zoom Video Communications, and adding devices.
  • Ability to manage assigned workload to ensure timely completion of departmental responsibilities.
  • Ability to analyze and apply regulatory requirements impacting Credit Union operations.
  • Ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
  • Ability to work in a fast-paced team environment with exceptional member service skills.
  • Ability to communicate clearly and concisely, orally and in writing.
  • High School Diploma or equivalent required.
  • Minimum one (1) – two (2) years of experience working in lending or banking-related roles required.
  • Bondable.

  • Serve as the primary liaison from approval through the full loan lifecycle, acting as the main point of contact for stakeholders, retail partners, dealers, and members.
  • Drive timely closings by resolving escalations, mitigating risk, coordinating documentation, and managing operational communications.
  • Partner with Underwriting and Retail to support cross-functional lending operations, ensuring proper booking and seamless consumer loan funding execution.
  • Handle and resolve incoming inquiries courteously and professionally.
  • Communicate with members to obtain required documentation, send loan documents, answer questions, and provide a high level of member service.
  • Refer matters beyond authority to management with recommendations for resolution.
  • Coordinate and manage all loan closing activities with cross-functional stakeholders, ensuring accurate documentation, compliance, operational readiness, and timely funding.
  • Conduct quality assurance audits prior to funding to ensure completeness and accuracy of consumer real estate and non-real estate documentation.
  • Disburse and advance consumer real estate and non-real estate loan proceeds.
  • Print documentation and prepare payoff checks in accordance with loan agreements.
  • Ensure post-funding documentation (e.g., proof of insurance, ACH forms, dealer drafting instructions, balance transfers) is completed and submitted to appropriate departments.
  • Files UCC-1 financing statements to ensure proper lien perfection and compliance with regulatory requirements.
  • Maintain accurate records in the loan processing system, including status updates and communication logs.
  • Ensure compliance with all applicable policies, procedures, and regulatory guidelines.
  • Review and process incoming Indirect Auto loan contracts from dealers and refinance vendors, verifying data accuracy and completeness.
  • Validate purchase agreements, income documentation, and identification for compliance and accuracy.
  • Assemble and finalize Indirect loan packages for funding and disbursement.
  • Manages dealer draft payments by coordinating with dealers, validating title perfection, and issuing payment only upon lien perfection.
  • Interact with dealerships to clarify decisions, resolve issues, collect documentation, and address funding inquiries.
  • Demonstrate sound decision-making when onboarding dealerships to the approved network.
  • Process vehicle titles, registrations, and plates in accordance with state guidelines.
  • Obtain, complete, and process accurate title documentation for lien perfection.
  • Conducts title investigations to support lien perfection by locating titles, coordinating with appropriate parties, and preparing documentation for missing titles.
  • Assists in originating deposit relationships by establishing required primary savings accounts for new members to support loan origination.
  • Initiates welcome calls to verify member and loan information, ensuring alignment with system records.
  • Sort, log, and distribute daily applications evenly across the team to support pipeline efficiency.
  • Identify departmental needs and recommend process improvements or training initiatives.
  • Complete loan-related projects, system testing, internal documentation (WIKI) updates, and training assignments as directed.
  • Acts as a point of contact for branch and department staff across the organization, providing procedural guidance, responding to inquiries, and offering process clarification to support effective and consistent operations.
  • Performs other related duties as assigned.
