About The Position

Supple Homes Inc. is seeking a highly organized Construction Project Coordinator Virtual Assistant who is fully bilingual in English and Mandarin to support our Project Managers with project coordination, communication, documentation, scheduling, and administrative follow-through. This position is open to qualified candidates based in the Malaysia or Mainland China. The ideal candidate will have construction-industry experience and be able to communicate confidently and professionally with American clients, subcontractors, vendors, consultants, and internal team members, while providing Mandarin-language communication support when required. The successful candidate must have an excellent command of both English and Mandarin, including clear, professional pronunciation and spoken communication in both languages. Based in Menlo Park, California, Supple Homes is a boutique custom homebuilder with more than 20 years of experience delivering architect-driven luxury residences throughout Silicon Valley. Our projects typically range from $4 million to $11 million and involve close coordination between homeowners, architects, consultants, subcontractors, vendors, and project teams. Requirements

• Professional fluency in both English and Mandarin.
• Excellent spoken pronunciation and communication skills in both languages.
• Previous experience working directly with American clients or U.S.-based companies.
• Experience in the construction industry, preferably residential construction, general contracting, architecture, engineering, or a related field.
• Experience as a Project Coordinator, Construction Coordinator, Project Administrator, Executive Assistant, Virtual Assistant, or similar role.
• Strong understanding of construction terminology, project workflows, documentation, and scheduling.
• Excellent written English and professional business communication skills.
• Strong Mandarin reading, writing, and verbal communication skills.
• Comfortable participating in client calls, project meetings, and video conferences.
• Highly organized with strong attention to detail.
• Excellent follow-through and ability to manage multiple priorities simultaneously.
• Proactive and comfortable taking ownership of assigned responsibilities.
• Strong computer and cloud-based business-system skills.
• Experience with BuilderTrend or comparable construction-management software preferred.
• Reliable internet connection and professional remote-working environment.
• Ability to work hours that provide meaningful overlap with the California workday.

Responsibilities

• Support Project Coordination: Assist Project Managers with the day-to-day coordination of active luxury residential construction projects.
• Track project schedules, deadlines, action items, selections, approvals, and outstanding decisions.
• Maintain organized project documentation, records, meeting notes, and correspondence.
• Follow up with subcontractors, vendors, consultants, and team members to keep tasks moving.
• Coordinate meetings, calls, appointments, and project communications.
• Maintain accurate information in BuilderTrend and other company systems.
• Identify missing information, overdue items, and coordination issues and follow through until resolved.
• Provide Bilingual Communication Support: Communicate professionally in both English and Mandarin by phone, video call, email, and messaging.
• Support communication with Mandarin-speaking clients, vendors, consultants, and project stakeholders.
• Translate and communicate project-related information between English- and Mandarin-speaking parties when required.
• Ensure important details, intent, and tone are communicated accurately.
• Participate in client and project calls where bilingual communication support is required.
• Maintain a polished communication style appropriate for high-end residential clients.
• Speak clearly and confidently with excellent pronunciation in both English and Mandarin.
• Support Project Managers and Clients: Respond promptly and professionally to project-related requests.
• Prepare meeting agendas, notes, follow-up lists, and status updates.
• Track client questions, decisions, approvals, and selections.
• Assist with vendor and subcontractor follow-up.
• Help coordinate contracts, change orders, purchasing information, schedules, and project records.
• Maintain confidentiality and professionalism when handling client and company information.
• Ensure clients and project stakeholders receive timely and accurate communication.
• Maintain Strong Administrative Systems: Organize project files, correspondence, reports, schedules, and documentation.
• Maintain accurate records across multiple active projects.
• Track deadlines and proactively follow up on upcoming commitments.
• Assist with reporting, document preparation, data entry, and project administration.
• Improve templates, checklists, workflows, and internal administrative processes.
• Keep digital project information organized, current, and accessible.
