About The Position

The Construction Closeout Coordinator will be responsible for managing the punch, closeout, and warranty processes for GCHP construction projects. This role involves ensuring that punch lists are properly developed and closed out according to contract requirements, and that comprehensive closeout documentation is received from contractors, archived correctly, and provided to end-users in the appropriate formats. The coordinator will also communicate GCHP’s warranty process to the project team, manage all communications related to warranty issues, confirm resolutions, maintain a log of issues and their status, and coordinate end-of-warranty-period walks.

Requirements

  • Bachelor’s degree in construction management, Engineering, Architecture, or related field (preferred), or equivalent experience.
  • 2–5+ years of experience in construction, development, or project management support.
  • Knowledge of construction documents, scheduling, estimating, and contract administration.
  • Familiarity construction management related software and proficiency with MS Office applications.
  • Understanding of AIA contracts, permitting, and construction processes.
  • Strong communication, organization, and problem-solving skills.
  • Ability to read plans/specifications and manage multiple projects simultaneously

Nice To Haves

  • Experience with multifamily, affordable housing, healthcare, or commercial development.
  • Knowledge of HUD, LIHTC, Section 3, or public funding compliance (if applicable).
  • Cost estimating or budget management experience.

Responsibilities

  • Manage the punch, closeout, and warranty processes of GCHP construction projects.
  • Ensure punch lists are properly developed and closed out in accordance with contract requirements.
  • Ensure comprehensive closeout documentation is received from contractors and properly archived in GCHP files and provided in correct formats to end users.
  • Communicate GCHP’s warranty process to the project team and coordinate all communications pursuant to each warranty issue including confirmation of resolution.
  • Maintain log of all issues and their status throughout warranty period and coordinate with project team to conduct all end-of-warranty-period walks.
  • Assist with project planning, budgeting, scheduling, and feasibility reviews.
  • Support design development reviews for constructability, value engineering, and cost control.
  • Coordinate with architects, engineers, and consultants during design phases.
  • Help prepare bid packages, scopes of work, and procurement schedules.
  • Solicit, review, and compare subcontractor/vendor bids.
  • Assist with permitting, entitlement tracking, and utility coordination.
  • Review drawings/specifications for completeness and identify discrepancies.
  • Support preparation and tracking of construction budgets.
  • Assist in managing day-to-day construction activities for multiple projects.
  • Monitor contractor performance for schedule, safety, quality, and contract compliance.
  • Conduct regular site visits and document progress with reports/photos.
  • Track project schedules, milestones, and critical path items.
  • Coordinate owner, architect, and contractor meetings; prepare agendas and meeting minutes.
  • Review submittals, RFIs, ASIs, and change orders for completeness and impact.
  • Assist with cost tracking, invoice review, pay applications, and lien waivers.
  • Maintain project documentation including contracts, logs, permits, inspection reports, and warranties.
  • Manage punch lists, inspections, and closeout procedures.
  • Develop scopes of work and provide all aspects of oversight for ancillary projects related to primary development projects.

  • Assist the Development Project Manager or GCHP Property Management with tracking committed costs, contingency, allowances, and change management.
  • Review contractor pay applications for percentage complete and accuracy.
  • Assist with forecasting costs and identifying construction budget risks.
  • Support negotiation of change orders and cost-saving opportunities.
  • Monitor material procurement and lead times to minimize delays.
  • Assist in developing and updating master project schedules.
  • Monitor subcontractor sequencing and delivery schedules.
  • Identify potential delays and coordinate mitigation strategies.
  • Track long-lead procurement items and permitting timelines.
  • Support contract compliance for insurance, bonding, certified payroll, Section 3, DBE, or other program requirements when applicable.
  • Maintain records for inspections, testing, and regulatory approvals.
  • Assist in claim prevention through documentation and issue tracking.
  • Monitor workmanship and materials for compliance with plans/specifications.
  • Coordinate inspections and testing with consultants/agencies.
  • Assist with deficiency tracking and corrective action management.
  • Support warranty reviews and post-construction follow-up.
  • Serve as a communication link between development, design, construction, and property operations teams.
  • Coordinate with local agencies, utility providers, and community stakeholders.
  • Support tenant improvement or occupancy transition planning where applicable.
