Nice To Haves

  • Experience with construction management software like Procore is a plus.
  • Previous experience in an administrative role, preferably in the construction industry, is highly desirable.

Responsibilities

  • Assist in the preparation, distribution, and organization of project documentation including contracts, proposals, change orders, and submittals.
  • Manage correspondence with clients, subcontractors, and suppliers via email, phone, and in-person meetings.
  • Coordinate project schedules, meetings, and appointments for project managers and field staff.
  • Accurately enter project data into various software systems and maintain project files in an organized manner.
  • Assist in the procurement of materials by preparing purchase orders, tracking deliveries, and communicating with suppliers.
  • Support the billing process by preparing invoices, tracking payments, and resolving any billing discrepancies.
  • Assist in maintaining safety documentation and ensuring compliance with safety regulations on construction sites.
  • Perform general office duties such as answering phones, filing paperwork, and ordering supplies.
