About The Position

We are seeking a Construction Admin Support Specialist who will be responsible for providing support to the functionality of the Accounts Receivable Department. Responsible in documenting, entry, set up, billing and collections related to DynaFire construction jobs and customers. Sets up jobs in the construction software allocating the budget for each job. Sets up the job in ExakTime (Timekeeping system). Processing change orders. Process/Track NTO's (Notice to Owners). Ensure all fields in related software are completed for jobs on a monthly basis. Progress Billings for jobs such as invoicing, scanning, emailing/mailing, completing special documents required for billing and lien releases. Prepares and submits AIA billings to multiple jobs monthly on a strict deadline basis. Create/Provide COI's (Certificate of Insurance).

Requirements

  • Exceptional verbal, written and presentation skills
  • Ability to work effectively both independently and as part of a team.
  • Ability to work on tight deadlines
  • Solid organizational skills, including multitasking and time-management
  • Working knowledge of AIA billing and preparation of Lien Waivers experience preferred
  • Experience with Spreadsheets skills, Microsoft Outlook, Word, Excel, and Google Suite
  • Basic knowledge of administrative and clerical procedures and systems.
  • Commitment to ensuring the team succeeds with all tasks, duties and projects.
  • Makes sure team members are informed on any developments related to projects or the company's overall business.
  • Job may require sitting or standing for extended periods of time to accomplish essential tasks.

Nice To Haves

  • Working knowledge of AIA billing and preparation of Lien Waivers experience preferred
