About The Position

We’re hiring a Construction Admin Assistant to support the day-to-day administrative and operational functions across active projects. This role is focused on execution within established systems and workflows — not building processes from scratch. The ideal candidate has a solid understanding of construction terminology, budgeting, procurement, and project workflows, and is comfortable operating in a fast-paced environment with a high level of accuracy and attention to detail. This is a fully remote, full-time role (40 hours/week), ideally aligned with Latin American time zones, with strong preference for candidates in Brazil or South Africa. You’ll be supporting our client and his business partner as they continue scaling their growing construction business in the US. With over 40 years of industry experience, our client has built strong systems and workflows within the business. The focus is no longer on creating strategy, but on increasing execution capacity and operational efficiency. The leadership team is currently heavily involved in day-to-day administrative and operational responsibilities, limiting their ability to focus on higher-level priorities. This hire will play a key support role in keeping projects, procurement, vendors, reporting, and internal operations organized and running smoothly behind the scenes. This is a structured, process-driven position with clear ownership areas and strong long-term growth potential.

Requirements

  • Previous experience in construction administration, construction operations, project coordination, or civil engineering support roles
  • Strong understanding of construction terminology, budget categories, and job costing principles
  • Experience working with QuickBooks and construction project workflows
  • Highly organized with strong attention to detail
  • Ability to follow SOPs and structured processes independently in a fast-paced environment

Responsibilities

  • Manage and maintain project information within JobTread
  • Upload and organize plans, bids, W-9s, COIs, and other project documentation
  • Ensure all project records remain accurate and up to date
  • Enter expenses into JobTread and QuickBooks
  • Track and record project-related costs, including materials, hotels, vendor expenses, receipts, and invoices
  • Maintain accurate coding and cost tracking across projects
  • Research potential subcontractors through local permit portals and online resources
  • Compile and present findings to leadership for review and qualification
  • Coordinate material orders and track deliveries
  • Ensure materials arrive on time to active job sites to avoid project delays
  • Generate weekly and monthly operational reports using JobTread data
  • Assist leadership with reporting accuracy and project visibility
