About The Position

The Conference Services Manager plays a key role in delivering a high level of service and execution for meetings, events, and group experiences at Hotel Savoy Kansas City. This position is responsible for servicing groups and events from turnover through execution, ensuring all details are communicated clearly and carried out successfully across all hotel departments. Responsibilities include detailing events, preparing and distributing Banquet Event Orders (BEOs), managing rooming lists, coordinating meeting space setups, communicating timelines and operational needs, and maintaining contracted food and beverage minimums. This role works closely with Sales, Food & Beverage, Culinary, Front Office, Housekeeping, and Banquets to create a seamless guest and planner experience while supporting the hotel’s overall revenue goals, meeting planner satisfaction, and operational excellence standards. The Conference Services Manager is expected to maintain strong communication, stay highly organized, and remain actively involved in event execution to ensure the level of service expected at Hotel Savoy Kansas City. Management-level associates are expected to work the hours necessary to fulfill business and event needs.

Requirements

  • High School diploma or equivalent required.
  • Must hold a valid driver’s license for the applicable state.
  • Strong verbal and written communication skills are essential for negotiating, influencing, and selling to other management personnel, hotel guests, and corporate clients.
  • Proficiency in Microsoft Office and general computer skills is required.
  • Ability to work independently, manage multiple tasks simultaneously, and demonstrate strong organizational and presentation skills.

Nice To Haves

  • Previous convention/event and catering sales experience is preferred.
  • Creativity and knowledge of food and beverage/event coordination are desirable.
  • Experience with professional sales techniques such as opening, probing, supporting, and closing is preferred.

Responsibilities

  • Meet or exceed assigned meeting planner satisfaction scores, revenue goals, and food and beverage targets.
  • Proactively conduct solicitation calls, sales tours, and client entertainment tailored to the specific needs of the assigned property.
  • Monitor and assess trends within the market segment.
  • Approach all interactions with guests and employees in a friendly, courteous, attentive, and service-oriented manner.
  • Adhere to Avion Hospitality’s regulations, company standards, catering and meeting standards, and catering sales metrics.
  • Develop a thorough understanding of the hotel’s operations and policies, as well as those of relevant departments.
  • Deliver banquet event orders in a timely manner (within 10 days), ensuring accuracy.
  • Communicate any changes promptly to impacted departments and operations leaders.
  • Maintain strong visibility in the local community and industry organizations, as applicable.
  • Assist in implementing and/or participating in special promotions related to direct sales segments, such as sales blitzes, as needed.
  • Attend and participate in daily, weekly, and monthly meetings, as well as other functions required by management.
  • Perform other duties as assigned by the General Manager or Director of Sales.
