About The Position

We are seeking a highly organized and detail-oriented Compliance & Licensing Coordinator to support regulatory compliance across our multi-state retail operations. This role is responsible for managing business licenses, operational permits, corporate filings, and insurance documentation to ensure all locations remain compliant with state and local requirements. The Compliance & Licensing Coordinator works cross-functionally with Real Estate, Facilities, Field Operations, and external vendors to coordinate filings, maintain compliance tracking systems, and proactively address regulatory deadlines and requirements. This is an in-person role based at our Chicago corporate office and supports compliance for retail locations across multiple states.

Requirements

  • 2–5 years of experience in licensing, regulatory compliance, corporate compliance, or administrative operations
  • Experience managing multi-state licensing or regulatory filings preferred
  • Strong organizational and documentation management skills
  • Experience tracking regulatory deadlines and maintaining compliance calendars
  • Ability to coordinate with municipalities, vendors, brokers, and internal teams
  • Proficiency in Microsoft Office or similar documentation and tracking systems
  • Strong attention to detail and ability to manage multiple deadlines simultaneously

Responsibilities

  • Manage business license applications and renewals across multiple jurisdictions
  • Coordinate operational permit renewals including fire, alarm, occupancy, and health permits
  • Manage PWU permit applications, renewals, and tracking
  • Coordinate overhead signage permit applications and renewals
  • Work with municipalities to ensure signage permit compliance
  • Coordinate inspections with local jurisdictions when required
  • Manage regulatory notifications when store locations close
  • Process license termination filings for closed locations
  • Maintain the company compliance master calendar and track regulatory deadlines
  • Track expiration dates for licenses, permits, and regulatory filings
  • Maintain organized regulatory documentation archives
  • Provide compliance status reporting to leadership
  • Escalate potential compliance risks prior to expiration deadlines
  • Support documentation requests during audits or regulatory reviews
  • Request and distribute Certificates of Insurance (COIs) for landlords and vendors
  • Track vendor insurance documentation and expiration dates
  • Maintain records of lease insurance requirements
  • Coordinate with insurance brokers to confirm coverage requirements
  • Submit updated insurance documentation when required
  • Manage Secretary of State annual filings
  • Coordinate annual report filings
  • Obtain certificates of good standing when required
  • Coordinate with registered agents on entity compliance matters
  • Manage vehicle registration renewals
  • Maintain vehicle registration expiration tracker
  • Maintain vehicle title documentation files
  • Track vehicle insurance policy documentation
  • Monitor insurance expiration dates and coordinate renewals with broker
  • Escalate insurance lapses immediately
