About The Position

NAYA Family Center is seeking a dependable, welcoming, and community-minded Community Reception Coordinator in an on-call capacity to support their front office when regular reception coverage is unavailable. This role is crucial for creating a warm, respectful, and inclusive experience for community members, visitors, and staff, acting as one of the first points of contact. The coordinator will provide day-to-day reception and administrative support, including greeting visitors, managing a high-volume multi-line phone system, responding to inquiries via email and in-person, directing individuals to appropriate staff and services, and assisting with conference room reservations, mail, and office logs. This position is particularly important for assisting community members who may be navigating difficult circumstances or contacting NAYA while in distress, requiring strong communication, active listening, and sound judgment to respond professionally and compassionately while providing accurate information about NAYA’s programs and services. This is an intermittent, on-call position with a rate of $25.00 per hour.

Requirements

  • High school diploma or equivalent.
  • At least three years of demonstrated experience in customer service, administrative office work, and managing phone lines.
  • Excellent interpersonal, organizational, verbal, and written communication skills.
  • Dependable, punctual, responsible, and comfortable working independently while also being part of a team.
  • Ability to navigate a variety of people and situations with professionalism, empathy, and sound judgment.
  • Strong active listening skills and experience communicating with people from diverse backgrounds.
  • Knowledge of Native American history, the diversity of the local American Indian/Alaska Native community, and issues affecting the Urban Indian experience.
  • Knowledge of local community resources, emergency services, and social service agencies, particularly those serving low-income and ethnically diverse communities.
  • Comfortable using computers for web research, word processing, Excel, databases, and email.
  • Hold, or can obtain and maintain, certifications in CPR, First Aid, AED, and Non-Violent Crisis Prevention.

Nice To Haves

  • An Associate’s degree is preferred.
  • Experience working with urban or reservation Native American communities, including within a tribe, board, or other Native organization, is strongly preferred.

Responsibilities

  • Welcome staff, clients, community members, and visitors with warmth, respect, and professionalism.
  • Serve as a positive and knowledgeable representative of NAYA, providing accurate information and connecting visitors and community members with the appropriate staff and services.
  • Answer and manage a high-volume, multi-line telephone system with professionalism and care, including calls from individuals who may be experiencing distress or crisis.
  • Provide responsive customer service and communication through telephone, email, and in-person interactions.
  • Monitor and assist with conference room reservations.
  • Process incoming and outgoing mail and packages.
  • Maintain office logs and records, including vehicle check-out logs.
  • Follow NAYA’s safety procedures and contribute to a safe, secure, and inclusive environment.
  • Maintain confidentiality and represent NAYA with professionalism at community events and other public-facing activities.
  • Participate in cross-departmental projects, trainings, and meetings as needed.
  • Support other front office and organizational needs as assigned by the Community Reception Manager.
