Requirements

  • Ability to organize files and manage workflow efficiently.
  • Proficient with Microsoft Office Suite and document management systems.
  • Associate degree in Paralegal Studies or related field required.
  • Minimum of 3–5 years of related experience in a law firm or corporate legal department environment required.

Nice To Haves

  • Familiarity with iManage, Aderant, Matter Expert, or similar legal software preferred.
  • Bachelor’s degree preferred.
  • Prior experience in community association law, real estate, corporate governance, or related practice areas preferred.

Responsibilities

  • Assist attorneys with drafting and editing letters, contracts, memoranda, resolutions, amendments, retainer agreements, proposal letters, and other legal documents.
  • Prepare annual meeting, special meeting, recall, and special assessment notice packages.
  • Draft board meeting notices, board resolutions, amendments, certificates of amendment, and related correspondence to clients.
  • Assist with document rewrite projects and preparation of amendments, governing document revisions, and transmittal packages.
  • Coordinate electronic recording of documents and maintain related records and correspondence.
  • Order title searches, governing documents, and related reports from vendors.
  • Review and organize governing documents to ensure completeness and accuracy.
  • Support association election processes under attorney supervision.
  • Manage attorney calendars, scheduling, deadlines, and tasks.
  • Handle incoming and outgoing mail, certified mail, overnight deliveries, and electronic filing of documents and correspondence.
  • Maintain electronic file management systems, including filing emails and documents in the appropriate workspace within iManage.
  • Assist with conflicts checks, matter openings, file maintenance, and file closing procedures.
  • Work with accounting and billing systems, including time entry assistance, expense reports, check requests, and review of prebills.
  • Communicate professionally with clients, board members, vendors, management companies, and third parties.
  • Assist with preparation of trade show, seminar, and community association industry event materials as needed.
  • Make travel arrangements and perform other administrative and legal support duties as assigned.
