Responsibilities

  • Serve as the primary point of contact for tenants regarding inquiries, maintenance requests, and general concerns.
  • Coordinate with maintenance and vendor teams to ensure timely response and resolution of tenant issues.
  • Communicate building notices, updates, and policy information to tenants in a clear and professional manner.
  • Assist in lease administration by tracking critical dates and ensuring compliance with lease obligations.
  • Monitor rent collections and follow up with tenants on outstanding balances in accordance with company policies.
  • Prepare and distribute monthly tenant statements and reminders.
  • Maintain accurate payment records and assist with bank deposits, reconciliations, and reporting.
  • Support the property accounting team with billing adjustments, late fee processing, and reporting as needed.
  • Schedule and coordinate property access for contractors, leasing agents, and vendors.
  • Maintain an organized access log and ensure all visitors comply with building policies and safety procedures.
  • Oversee routine inspections of common areas, parking lots, and building systems to ensure properties are well maintained.
  • Report maintenance issues promptly and follow up until completion.
  • Issue purchase orders to contractors for awarded work when necessary.
  • Maintain and update lease files and electronic databases to ensure all information is accurate and current.
  • Track critical lease dates such as expirations, renewals, rent escalations, and option periods.
  • Assist with the preparation, execution, and distribution of lease documents, amendments, and addenda.
  • Review lease terms to ensure compliance with contractual obligations by both landlord and tenant.
  • Collaborate with accounting to confirm billing accuracy based on lease terms.
  • Assist in preparing reports, budgets, and correspondence for the property management team.
  • Maintain digital and physical filing systems for leases, service contracts, and tenant correspondence.
  • Support leasing and management initiatives such as move-ins, move-outs, and tenant improvements.
