About The Position

The Commercial Lines Assistant provides critical back-office and processing support to the commercial insurance sales team, enabling producers and account managers to spend more time on client relationships and new business. This is a non-client-facing role supporting general commercial lines across all lines of business. It centers on preparing and maintaining ACORD applications and supplemental forms, managing the renewal and quoting workflow across carrier portals, coordinating billing and payment follow-up, and organizing files to keep the pipeline moving efficiently. All client-facing correspondence is prepared for producer or account-manager review and sending. The ideal candidate is detail-oriented, comfortable working across multiple carrier systems and Salesforce, and able to manage a high volume of time-sensitive tasks with accuracy.

Requirements

  • Prior experience in commercial lines insurance support or agency operations preferred.
  • Familiarity with ACORD forms and standard commercial lines documentation across all lines of business.
  • Proficiency with Salesforce for account records, documentation, and workflow tracking.
  • Comfort navigating multiple carrier portals for quoting, renewals, and payment verification.
  • Strong attention to detail and accuracy when handling applications and account data.
  • Ability to manage multiple deadlines and prioritize time-sensitive renewal tasks.
  • Clear written communication for drafting internal-ready renewal and payment correspondence.

Responsibilities

  • Complete and fill ACORD forms accurately for new and existing commercial accounts.
  • Update prior-term ACORD forms with current renewal terms and exposure changes.
  • Modify ACORD forms and tailor submissions to meet the requirements of specific carriers.
  • Complete carrier-specific supplemental applications as required by line of business or class.
  • Prepare the initial draft of carrier applications for producer/account manager review.
  • Run replacement cost estimates (RCE) to support accurate property valuations.
  • Prepare and run renewal quotes ahead of expiration deadlines.
  • Check carrier portals to retrieve and track renewal quotes.
  • Prepare renewal declaration (Dec) page communications for producer/account-manager review and sending.
  • Support the renewal cycle by keeping quotes, forms, and documents on schedule and ready for review.
  • Check carrier portals to confirm premium payments have been received and posted.
  • Draft and route payment reminders for direct-bill accounts to reduce lapses and cancellations.
  • Set up and organize binding folders so bound business is complete and audit-ready.
  • Maintain accurate records and documentation within Salesforce.
