About The Position

The Commercial Concrete Office Manager performs essential duties related to employee onboarding, payroll, fleet maintenance, and general administrative support. This role requires a high degree of organization, attention to detail, and the ability to handle multiple tasks simultaneously. The individual must understand and uphold data privacy and employee confidentiality per Federal laws and contractual obligations. This position plays a key role in ensuring smooth operations and supporting the project management team.

Requirements

  • Demonstrated knowledge of payroll processes and US labor laws.

  • Proficient with Microsoft office applications, especially Excel.
  • Proficient with Adobe Pro & Bluebeam.
  • Must be able to pass Federal background check to gain access to military bases if needed.
  • Must be technology savvy.
  • Possess computer skills required for various software and programs. Be capable of learning new software and integrating it into workflow.
  • Use project management and scheduling software consistently and accurately.
  • Must be able to pass a drug screening.
  • Must possess a valid driver license and qualify to drive under company vehicle policy.

Responsibilities

  • Maintain data privacy and employee confidentiality.
  • On-board new hires, including reviewing and submitting paperwork, coordinating arrivals, and managing computer-based certification trainings.
  • Schedule GC SSHO site trainings and update/submit EAL and DBIDS if applicable.
  • Maintain personnel files, including new hire paperwork, checklists, disciplinary forms, vacation request forms, and evaluations.
  • Manage the PERKS program.
  • Process payroll by inputting employee time into time tracking software, verifying information, and addressing pay discrepancies.
  • Handle per diem assignments and submit staffing agencies timecards.
  • Take meeting notes and create post-meeting reports for tracking purposes.
  • Manage fleet maintenance, documentation, and scheduling, including vehicle/equipment logs, monthly checklists, and maintenance scheduling with mechanics.
  • Assist with housing arrangements for crews if applicable.
  • Assist in project closeout documents.
  • Promote safe and productive practices.
  • Represent the company professionally to clients and build trusting relationships.
  • Ensure all work reflects high-quality workmanship and meets or exceeds company standards.
