About The Position

The Commercial Concrete Office Manager plays a crucial role in supporting the company's operations by managing administrative tasks, personnel files, payroll input, and fleet maintenance. This position requires a high level of organization, attention to detail, and the ability to handle multiple responsibilities effectively. The Office Manager will ensure data privacy and employee confidentiality, coordinate new hire onboarding, manage payroll processing, and maintain accurate records for vehicles and equipment. Additionally, they will assist with project closeout documents and represent the company professionally to clients.

Requirements

  • Ability to handle multiple tasks simultaneously and meet deadlines.
  • Demonstrated knowledge of payroll processes and US labor laws.
  • Service-oriented with strong communication, interpersonal, and research skills.
  • Proficient with Microsoft office applications, especially Excel.
  • Proficient with Adobe Pro & Bluebeam.
  • Must be able to pass Federal background check to gain access to military bases if needed.
  • Must be technology savvy.
  • Possess computer skills required for various software and programs.
  • Be capable of learning new software and integrating it into workflow.
  • Use project management and scheduling software consistently and accurately.
  • Must be able to pass a drug screening.
  • Must possess a valid driver license and qualify to drive under company vehicle policy.

Responsibilities

  • Maintain data privacy and employee confidentiality per Federal laws and contractual obligations.
  • Manage new hire onboarding, including paperwork review, submission, and coordination of computer-based training.
  • Schedule site trainings and update/submit necessary documentation for access to military bases (EAL, DBIDS).
  • Maintain personnel files, including new hire checklists, 90-day review notifications, disciplinary forms, vacation requests, and evaluations.
  • Input employee time into time tracking software, verify information, and address pay discrepancies.
  • Handle per diem assignments and submit staffing agencies' timecards.
  • Take meeting notes and create reports for tracking purposes.
  • Maintain up-to-date vehicle/equipment logs and schedule maintenance with mechanics.
  • Manage monthly vehicle checklists.
  • Assist in finding and setting up housing for crews if applicable.
  • Assist in project closeout documents.
  • Promote safe and productive practices.
  • Represent Innovative Concrete, LLC to clients in a professional manner and build trusting relationships.
  • Ensure all work reflects the high-quality workmanship of Innovative Concrete, LLC and meets or exceeds company quality standards.
