Requirements

  • Minimum of 2 years’ experience in administrative support, project coordination, billing support, or operations preferred.
  • Strong organizational, time management, and multitasking skills.
  • Detail-oriented with excellent follow-through, accountability, and commitment to accuracy.
  • Effective communication and problem-solving abilities, with a collaborative mindset.
  • Willingness and ability to travel as needed to support large-loss projects.
  • Proficient in Microsoft Office Suite and project management software platforms.

Nice To Haves

  • Experience in restoration, construction, insurance, or service-based industries preferred.
  • Familiarity with T&M billing and platforms – Clerk of the Works (COW), preferred.

Responsibilities

  • Provide administrative support for commercial and large-loss projects, ensuring seamless project execution.
  • Assist in preparing, organizing, and maintaining project documentation, files, and billing readiness materials.
  • Support Time & Materials (T&M) clerking, maintaining accurate and up-to-date project records.
  • Collaborate with Project Managers to collect and submit required documentation, following client or insurance carrier guidelines.
  • Monitor project files for completeness, accuracy, and compliance with company and industry standards.
  • Maintain organized records within internal systems and client portals to ensure accessibility and consistency.
  • Provide on-site project support and clerking assistance during large-loss mobilizations as needed.
