About The Position

The Collections Clerk is responsible for assisting in the generating and mailing of letters, itemized bills and other patient correspondence. This role involves scanning correspondence, completing daily reports, tracking and mailing correspondence, analyzing patient accounts for disputes, verifying billing accuracy, and identifying discrepancies. The clerk will also identify accounts with legal representation, communicate with attorneys' offices, maintain records of communications, and coordinate with attorneys regarding payment arrangements and dispute resolution. Additionally, the role requires drafting responses to liens/disputes, complying with FDCPA guidelines, and adhering to HIPAA standards for patient information.

Requirements

  • High school diploma or equivalent required
  • 1 year experience working as a clerk or similar role
  • Ability to learn in-house applications
  • Proficiency in Microsoft Office Suite
  • Strong interpersonal skills, ability to communicate well at all levels of the organization
  • Strong problem solving and creative skills and the ability to exercise sound judgment and make decisions based on accurate and timely analyses
  • High level of integrity and dependability with a strong sense of urgency and results oriented
  • Excellent written and verbal communication skills required
  • Gracious and welcoming personality for customer service interaction

Responsibilities

  • Scan correspondence and documents into internal software
  • Complete pending tasks report daily
  • Track, update, print, and mail correspondence
  • Analyze patient accounts flagged for disputes
  • Verify billing accuracy, insurance payments and patient responsibility
  • Identify discrepancies and determine the root cause of disputes
  • Identify accounts with legal representation and initiate contact with attorneys’ offices to verify representation and obtain necessary documentation
  • Maintain accurate records of attorney communications and legal documents related to patient accounts
  • Coordinate with attorneys regarding payment arrangements, account status, and dispute resolution
  • Draft and manage responses to patient/attorney liens/disputes
  • Comply with FDCPA guidelines
  • Use, protect and disclose patients’ protected health information (PHI) only in accordance with Health Insurance Portability and Accountability Act (HIPAA) standards
  • Understand and comply with Information Security and HIPAA policies and procedures at all times
  • Limit viewing of PHI to the absolute minimum as necessary to perform assigned duties
