About The Position

The Managed Care Administration Department Co-op provides miscellaneous clerical and administrative support to teams, committees, data analysis or work groups, as needed. Actual job functions will vary based on team assignment. For the Managed Care Administration team, responsibilities include performing simple clerical assignments such as organizing new forms, reviewing and maintaining SD databases, and charts, preparing reports and other correspondence as required. The co-op will also assist with the administration of SD meetings by creating agendas and setting up calendar invites, assist with presentations at Bi-weekly Staff meetings, and provide clerical support for the SD administrator and the SD support data staff. Additionally, the role involves conducting research as required for the department, assisting in the preparation of proof documents for accreditation surveys (CARF) and other regulatory agencies, responding to requests, and assuring the confidentiality of all information as required by law and by policy. Other duties may be assigned.

Requirements

  • Graduation from an accredited high school or possession of a GED certificate.
  • Current enrollment in an accredited college/university bachelor’s or master’s degree program, pursuing a degree in human services, health education, training and development, workforce development, social work, public health, or closely related field.
  • Proficiency with standard Microsoft Office applications, including, but not limited to, PowerPoint, Word, and Excel.
  • Proficiency learning and working within new software systems such as Learning Management Systems (example: Docebo).
  • Highly effective oral and written communication skills.
  • Highly effective interpersonal communications skills.
  • Ability to maintain tact and discretion during interactions with management, staff, and community members.
  • Must have available means of transportation to and from OCHN and for required offsite meetings or site visits.
  • Must be available for trainings, meetings, and events which may occur outside of standard office hours.

Responsibilities

  • Produce routine documents and reports as needed.
  • Proofread materials for inaccuracies and errors. Make corrections or returns to appropriate person to make corrections.
  • Maintain email and other communication with OCHN self-determination and transportation provider network as directed.
  • Organize and file materials according to subject matter, alphabetically, numerically, or chronologically.
  • Make copies of departmental files, records, and correspondence.
  • Answer routine inquiries by phone, by email. Directs callers and visitors to the proper party or department. Relays messages, as necessary.
  • Releases departmental information according to standardized departmental procedures. Refers unusual requests to supervisor.
  • May be responsible for meeting coordination, note taking and set up.
  • Perform simple clerical assignments such as organizing new forms, reviewing and maintaining SD databases, and charts, preparing reports and other correspondence as required.
