About The Position

This role serves as the site CMMS owner and primary administrator for maintenance activities, focusing on managing work orders, asset management, preventive maintenance, and inventory. The coordinator will ensure accurate data in the CMMS, optimize PM schedules, manage the maintenance crib and spare parts inventory, and support outside contractors. The position requires strong organizational skills, technical knowledge of industrial systems and CMMS platforms, and effective communication to collaborate with various departments. The goal is to maintain reliable maintenance history, ensure compliance, and minimize downtime risk.

Requirements

  • High school diploma or GED required.
  • Minimum of 3–5 years of experience in CMMS administration.
  • Minimum of 3–5 years of experience in maintenance planning/scheduling.
  • Minimum of 3–5 years of experience in maintenance inventory or storeroom management.
  • Minimum of 3–5 years of experience in an industrial or facilities maintenance environment.
  • Working knowledge of industrial facility systems (HVAC, electrical, plumbing, utilities).
  • Working knowledge of preventive maintenance principles.
  • Working knowledge of maintenance inventory management.
  • Working knowledge of CMMS platforms (asset management, work orders, PMs, inventory modules).
  • Strong organizational and planning skills.
  • Ability to analyze maintenance data and identify improvement opportunities.
  • Proficient in reading technical manuals, procedures, and asset documentation.
  • Basic math skills related to inventory, costing, and measurements.
  • Effective written and verbal communication skills.

Responsibilities

  • Serve as the site CMMS owner and primary administrator for maintenance activities.
  • Receive, review, prioritize, issue, and track corrective, preventive, and project-related work orders.
  • Ensure work orders include clear scope, required materials, labor estimates, safety considerations, and completion documentation.
  • Close work orders in CMMS with accurate labor, parts usage, downtime, and failure data.
  • Monitor backlog, PM compliance, and work order metrics; provide reports and insights to Maintenance and Engineering leadership.
  • Ensure CMMS workflows align with maintenance procedures, audits, and regulatory requirements.
  • Maintain accurate and complete asset records for facility and assigned operational equipment.
  • Develop, write, optimize, and maintain preventive maintenance (PM) procedures.
  • Schedule weekly, monthly, semiannual, and annual PMs in CMMS.
  • Review PM effectiveness and make data-driven recommendations for frequency or task improvements.
  • Own and manage the maintenance crib and spare parts inventory, including stocking, labeling, organization, cycle counts, and inventory accuracy.
  • Manage min/max and reorder point for inventory.
  • Source, purchase, and receive maintenance materials, tools, and spare parts.
  • Obtain quotations, place purchase orders, track deliveries, and coordinate with vendors and suppliers.
  • Maintain cost control and inventory optimization while minimizing downtime risk.
  • Issue parts to maintenance technicians and contractors; ensure accurate CMMS inventory transactions.
  • Collaborate with Maintenance and Engineering to identify critical spares and improve parts standardization.
  • Coordinate and support outside contractors by issuing work orders, ensuring scope clarity, and verifying material readiness.
  • Assist with scheduling facility maintenance activities to minimize operational disruption.
  • Support equipment installations, relocations, and facility modifications through CMMS planning and material coordination.
  • Operate fork trucks and material-handling equipment as trained for inventory and material movement.
  • Support maintenance safety and regulatory compliance by ensuring PM documentation and work orders meet required standards.
  • Promote organized, clean, and safe crib and work environments.
  • Follow company policies, OSHA requirements, and applicable local and state regulations.
  • Work closely with Maintenance Technicians, Maintenance Manager, Engineering, Operations, and Supply Chain.
  • Communicate maintenance priorities, material constraints, recurring issues, and improvement opportunities.
  • Accept task direction and prioritization from the Maintenance Manager or Engineering leadership.
  • Act as a bridge between field execution and maintenance planning.
  • Maintain accurate CMMS records for work orders, PM completion, asset history, and inventory transactions.
  • Generate maintenance, inventory, and compliance reports as required.
  • Track KPIs such as PM compliance, backlog health, inventory turns, and asset reliability indicators.
