About The Position

This role is responsible for scheduling surgeries, coordinating surgical equipment, and managing patient appointments. The Surgery Scheduler will also provide patient education, obtain prior authorizations, and assist physicians with procedures. Additionally, the role involves maintaining patient records, managing instrument sterilization, and completing necessary medical paperwork for patients. The Surgery Scheduler plays a crucial role in ensuring smooth patient flow and efficient surgical operations within the practice. This includes communicating with various hospital departments, healthcare providers, and insurance companies to facilitate patient care and obtain necessary approvals. The position also requires adherence to all applicable laws, regulations, and hospital policies, including Blood and Body Substance Precautions.

Requirements

  • Associate degree in Medical Assisting and three years of experience working in a physician practice in a clerical or clinical role; OR High school diploma or equivalent and five years of experience working as a Medical Assistant.
  • At least one year of experience in a surgical practice setting required.
  • Current CMA (AAMA), RMA, NCMA or CCMA certification required.
  • Current BLS or CPR for Healthcare Providers certification required.

Responsibilities

  • Schedules surgeries and coordinates with the Surgery Department for appropriate surgical equipment.
  • Schedules pre-anesthesia testing and post-operative appointments for patients.
  • Ensures consent for surgical procedures is signed and on file prior to the procedure.
  • Reschedules surgeries if issues are identified during pre-anesthesia testing.
  • Performs pre-determination of high-tech surgical procedures (e.g., bariatric, plastic).
  • Provides pre and post-operative education and instructions to patients and their families.
  • Assigns proper CPT codes for surgical procedures and communicates this information to relevant staff.
  • Obtains prior authorization for procedures and assists with retro prior authorizations if needed.
  • Provides communication to multiple JMH departments for coordination of care.
  • Obtains medical clearance from primary care providers and arranges appointments for such clearance.
  • Obtains cardiology clearance or schedules cardiology appointments for additional testing if needed.
  • Gives clear instructions to patients regarding medication holds prior to surgery and documents this information.
  • Maintains, organizes, and reviews patient reminder lists for follow-up appointments.
  • Checks the multi-patient task list daily for clinical tasks that need to be addressed.
  • Assists physicians in the exam room with exams, dressing changes, suture/staple and drain removals.
  • Assists physicians with minor surgical procedures performed in the office setting.
  • Cleans, sterilizes, and prepares instruments for procedures.
  • Maintains cleanliness of the Autoclave and performs monthly testing.
  • Requests medical records from outside entities.
  • Completes Family Medical Leave Act/Leave of Absence, Short-Term Disability, and Long-Term Disability paperwork.
  • Communicates and supports the Mission and Values of JMH.
  • Conducts all activities in compliance with applicable laws, regulations, standards, and hospital policies.
  • Performs other related duties as assigned by the Practice Administrator.
