Bargaining Unit: UUP Job Summary: The Department of Medical Education in the College of Medicine at SUNY Downstate Health Sciences University is seeking a full-time Senior Staff Assistant / Clinical Skills Logistics Coordinator. The successful candidate will: Set up small group sessions, prepare materials, create packets for distribution. Spot check the location of facilitation and assist facilitators with Fl and F2 student attendance. Schedule rooms and request audio/video equipment. Create packets for distribution; set up and break down of clinical skills and simulation equipment; lead coordination clinical skills sessions for F1 and F2 students. This includes: Assisting with the development of the session; coordinating, recruitment of toddlers, ordering materials, and facilitating the events of the session; assist with the clinical skills portion of transition to clerkship activities; gateway 1 & 2, serving as liaison and designated staff for gateway assessments, which includes taking attendance, providing materials, prepping students for orientation and distribution, and collecting surveys; OSCE Exams: Prepare faculty and student materials, create packets for assessment, set up and break down equipment and serve as a hallway monitor. Recruit facilitators for small groups, clinical skills labs, physical exam labs, and human development sessions for Fl and F2 students. Track clinical skill assignment submissions for Fl and F2 students and report out for grading and behavioral patterns. Track, edit, prepare and assign student assignment documents for assessment grading; provide proctor assignments for all end-of-unit exams. Provide materials and supplies for task trainer sessions done after hours; provide administrative support to the clinical skills leadership team and manage the day-to-day activities of the F1 and F2 students. Maintain and update the online calendar and course database, post slides, syllabi, and other material for students and coding lectures for accreditation and internal objectives. Proctor end-of-unit exams. Demonstrate flexibility and perform other job-related-duties as assigned and/or as business needs warrant.

Requirements

  • Bachelor's Degree in Business Management, Public Administration or a related field.
  • 3 to 5 years of work experience in an administrative capacity with prior project management skills and experience.
  • Strong organizational, written and communication skills.
  • Precise attention to detail and accuracy; ability to manage multiple projects simultaneously.
  • Ability to work independently and proactively.
  • Experience using Excel, Outlook, PowerPoint, Qualtrics.
  • Or, a satisfactory equivalent combination of experience, education and training to the above.
