About The Position

This role involves managing the distribution of medical supplies within a hospital setting. Key responsibilities include picking and packing medical supplies, delivering them to various hospital departments, and loading them into computerized supply stations. The position also requires manual inventory counts using a wireless handheld device, restocking shelves, checking in deliveries, and maintaining accurate records of incoming and outgoing supplies. The Clinical Distribution Clerk will also be involved in repackaging supplies, ordering stock via the computer system, and participating in year-end inventory. The role operates under the supervision of the Clinical Supply Supervisor and the direction of the Manager of Supply Chain Distribution.

Requirements

  • 2-4 years recent experience in inventory control
  • Ability to follow simple instructions to accomplish repetitive tasks.
  • Basic knowledge in use of computers and printers, and/or ability to learn appropriate software applications.
  • Ability to accurately relay information as requested.
  • Can function independently with little supervision.
  • Can relate cooperatively and constructively with patients, families, and co-workers.
  • Communicates sufficiently to request supplies and writes identifying information.
  • Displays pleasant and courteous manners at all times while providing exceptional customer service.
  • Maintains confidentiality of all patient information processed through the department.
  • Read, write, and communicate in English.
  • Ability to communicate promptly, clearly, and courteously with all hospital staff and customers.

Responsibilities

  • Pulls medical supplies from inventory shelves based on pick lists and prepares them for delivery.
  • Delivers medical supplies to hospital departments and loads them into computerized supply stations.
  • Performs manual inventory counts in non-computerized areas using a wireless handheld Personal Data Terminal (PDT).
  • Pulls necessary items from Clinical Supply (CS) shelves for non-computerized areas.
  • Accurately checks in deliveries of supplies against delivery documents.
  • Opens and unpacks shipping cartons to restock supplies onto inventory holding shelves.
  • Repackages and bundles supplies into smaller quantities.
  • Runs supply labels and places supply orders via the computer system.
  • Maintains accurate computer records of all incoming and outgoing department supplies.
  • Participates in year-end inventory.
  • Answers phone calls promptly and courteously, taking accurate messages for supply orders.
  • Responds to Clinical Supply (CS) supply requests within 5 minutes.
  • Maintains confidentiality of patient and employee information.
  • Duplicates forms using photocopying equipment.
  • Performs routine clerical functions as necessary.
  • Restocks medical products into unit automated supply stations, verifying counts, rotating products, and checking expiration dates.
  • Performs daily par level replenishment for Nursing units, MOB, and Outpatient clean supply rooms.
  • Logs inventory counts correctly on the Par Inventory Worksheet or enters them into the PDT.
  • Demonstrates effective verbal and written communication, pleasant and courteous manners, and exceptional customer service.
  • Follows directions from management and maintains a positive work environment.
  • Effectively utilizes various computer software programs for duties and patient supply charges, including Automated Supply Stations, Automated Supply Station Console, Wireless palm handheld, Lawson system, data entry, and report production.
  • Troubleshoots printers and contacts support services for computer or automated supply station issues.
  • Follows proper techniques to adhere to OSHA requirements and Infection Control Policies, including using appropriate personal protective equipment.
  • Initiates medical supply items needed for Clinical Supply inventory on the “Preliminary Order” worksheet.
  • Verifies accuracy of medical supply items delivered against the In-transit Shipping document.
  • Stocks medical products on CS inventory shelves with proper rotation and storage.
  • Makes kits and trays for caregivers and repackages bulk products into smaller quantities.
  • Manages data information within established guidelines, including collecting, prioritizing, recording, organizing, distributing, evaluating, or processing data.
  • Activates system reports and completes required departmental logs.
  • Participates in in-services, continuing education, and staff meetings.
  • Plays a role in teaching procedures and policies to new staff and volunteers.
  • Prioritizes activities and seeks guidance as necessary.
