About The Position

The Clinic Support Coordinator performs receptionist and administrative duties related to clinic operations, collects patient information, maintains confidentiality of patient files, and coordinates with multiple disciplines and customers. This role is the first and last point of contact with patients daily, handling registration, scheduling, check-in/check-out, and ensuring all necessary paperwork is obtained and updated in the medical record. The position also involves maintaining supplies, distributing mail, managing medical records for accuracy and timely filing, and coordinating projects as assigned. The Clinic Support Coordinator acts as a communication resource for the treatment team, external agencies, and facilitates patient transfers. A professional demeanor, strong organizational skills, and a positive attitude towards all customers are essential.

Requirements

  • Eighteen (18) years of age, or older.
  • High school diploma required.
  • Proficiency with computer programs (Microsoft, Excel, etc.) and electronic health record software is required.
  • Basic knowledge of equipment utilized to perform clerical duties.
  • American Heart Association Provider CPR certification is required within thirty (30) days of hire.
  • Formal training in crisis prevention and intervention is required within sixty (60) days of date of hire.

Nice To Haves

  • Cerner is preferred.
  • Previous experience working in an office setting, medical office or psychiatric setting is preferred.

Responsibilities

  • Performs a variety of administrative processes and serves as the first and last point of contact with patients daily.
  • Answers telephone and provides accurate Rogers program and services information to callers.
  • Registers and schedules patients and confirms insurance guarantor information.
  • Responsible for daily check-in and check-out of patients and reporting of this information.
  • On admission, verifies patient identification, demographic, insurance, and ensures all paperwork and consent information are obtained/updated in the medical record.
  • Maintains and orders supplies.
  • Distributes incoming packages and mail.
  • Maintains medical records ensuring accuracy of document placement.
  • Reviews all active medical records for correct placement of forms, and patient information.
  • Files all reports accurately and in a timely manner.
  • Completes all documentation within the required timeframe.
  • Ensures routine and priority tasks are completed within the established timeframe.
  • Coordinates projects as assigned.
  • Tracks and completes metrics and statistics as assigned by operations leadership.
  • Copies documents for the treatment team.
  • Ability to communicate and coordinate the transfer process to and from Rogers.
  • Assists in facilitating treatment by acting as a communication resource to other disciplines, external agencies, and as directed by the treatment team.
  • Maintains the environment in a safe, orderly manner.
  • Performs other duties as assigned.
