About The Position

Medi-Weightloss® is a physician-supervised, evidence-based weight loss program focused on nutrition, fitness, medicine, education, and motivation. We are seeking a Clinic Coordinator to float across our three Triangle clinics (Raleigh, Chapel Hill, and Cary). This role is central to clinic operations, ensuring smooth daily functioning, managing patient interactions, and providing exceptional customer service. The ideal candidate will have a magnetic personality, a passion for high-end customer service, and a genuine desire to help people transform their lives. This position combines front office duties with clinical responsibilities, focusing on the overall patient experience. Training will be provided for our systems and clinical skills.

Requirements

  • A genuine passion for helping people get healthy.
  • Experience in a medical office, ideally an elective or high-end setting (med spa, aesthetics, concierge or physician's office).
  • Comfort and confidence on the phone.
  • Ability to thrive in a fast-paced clinic environment with shifting priorities and multitasking.
  • Outstanding written and verbal communication skills, and a polished, professional presence.
  • Strong organization, attention to detail, and consistent follow-through.
  • Proficiency in Microsoft Word and Excel, and comfort learning an EMR system.
  • Comfort discussing program pricing and collecting payment.
  • Full availability across all business hours: Monday through Saturday, 6:00 AM arrival through 7:00 PM close (shifts vary by day and clinic).
  • Willingness and ability to work at all three clinics (Raleigh, Chapel Hill, and Cary).
  • Valid driver's license and reliable transportation.
  • Punctual and dependable.
  • High school diploma or equivalent.
  • Willingness to complete a background check.

Nice To Haves

  • Medical Assistant experience or certification (CMA/RMA).
  • Experience taking vitals, assisting with procedures, or phlebotomy.
  • Front-office leadership or clinic supervisor experience.
  • Background in weight loss, wellness, med spa, aesthetics, or primary care.
  • Prior experience with patient outreach calls, membership sales, or retail/product sales.
  • Knowledge of nutrition and exercise fundamentals.

Responsibilities

  • Run daily clinic operations, including scheduling, patient records, documentation accuracy, opening and closing procedures, and keeping the day on track.
  • Make outbound calls to patients daily for appointment reminders, no-show and missed-visit follow-ups, re-engagement calls, and check-ins.
  • Room and work up patients, including weighing them, taking vital signs, and preparing new patients.
  • Document medical information, prescribed medications, and patient interactions accurately in the EMR system.
  • Act as a patient advocate by answering questions, connecting them with providers, and offering personalized support.
  • Quote fees, collect payments, handle transactions, and support product and supplement sales.
  • Support patients through challenging periods, celebrating successes, following up on setbacks, and encouraging continued engagement.
  • Maintain clinic cleanliness, stock, and readiness.
  • Support practice marketing and local outreach efforts to attract new patients.
