About The Position

The Clinic Coordinator IMC is responsible for a variety of clerical and patient-facing duties within the clinic. This role involves greeting patients and visitors, managing communications, maintaining records, processing physician orders, registering patients, and scheduling appointments. The position requires excellent customer service skills, attention to detail, and the ability to handle various administrative tasks efficiently.

Requirements

  • Must possess a high school diploma or equivalent.
  • Must have successfully completed a unit secretary training program from an approved hospital or vocational school.
  • Knowledge of insurance and managed care required.
  • Knowledge of hospital and department Mission, Vision and Values as well as policies and procedures, patient interface procedures.
  • Ability to operate technical equipment as acquired through orientation.
  • Excellent verbal and written communication skills that convey a caring and professional attitude.
  • Handling difficult individuals or situations in a professional and compassionate manner is required.

Responsibilities

  • Greets, directs, and receives patients, visitors, and staff in a courteous manner.
  • Uses proper telephone and customer service etiquette when communicating with physicians, patients, visitors, internal and external customers.
  • Records and relays messages in a timely and accurate manner.
  • Manages faxes and incoming paperwork to ensure they reach the proper person or place.
  • Maintains downtime documents for the clinic and practices appropriate downtime procedures.
  • Facilitates admissions from the clinic by requesting beds, faxing admission orders, and assisting as needed.
  • Performs reminder calls as time permits.
  • Displays courtesy and respect to all customers.
  • Is attentive to the needs of others and apologizes for delays in service.
  • Correctly uses and maintains equipment and supplies, minimizing waste.
  • Assists with the ordering, receipt, and storage of supplies.
  • Ensures adequate forms are readily available for physicians and staff.
  • Assembles charts for staff, including pulling referral documents.
  • Copies chart components needed for patients or precert nurses.
  • Indicates documents given to patients.
  • Provides patients with return appointments, prescriptions, med lists, physician orders, and financial counseling information.
  • Breaks down charts into HIM and billing components.
  • Delivers billing sheets with clinic records and face sheets to the billing secretary.
  • Processes clinic records for inmates per department procedure.
  • Delivers records to HIM.
  • Reviews charts for provider orders.
  • Enters lab and other orders into McKesson.
  • Schedules diagnostic tests and PT evaluations.
  • Reviews orders for completeness and insurance information.
  • Forwards patient orders for preauthorization to precert nurses based on insurance coverage.
  • Communicates instructions to patients clearly.
  • Processes referrals to outside providers with appropriate documents.
  • Registers and/or edits patient registration information to ensure accurate demographic, clinical, and insurance data.
  • Modifies attending physicians, residents, and referral sources as needed.
  • Utilizes Passport for insurance verification.
  • Enters discharge edits into the system as required.
  • Utilizes the scheduling system to schedule patient appointments for clinic visits, diagnostic services, and ancillary services.
  • Contacts MDs for requested overbooks to obtain authorization and processes approval/denial.
  • Reschedules patient appointments when necessary, notifies patients/referral sources, and apologizes for inconvenience.
  • Responds to patient management issues.
  • Assists Central Scheduling with requests specific to each clinic.
