POSITION OVERVIEW: Title: Clinic Clerical Specialist Reports To: Clinic Manager Schedule: M-F; 8am-5pm Status: Non-Exempt Summary: The Clinic Clerical Specialist plays a vital role in supporting the daily operations of the clinic by assisting Medi-Cal Assistants and other healthcare staff with administrative and clerical tasks. This position is responsible for chart preparation, document management, data entry, patient record maintenance, and ensuring all necessary paperwork is completed accurately and efficiently.

Requirements

  • High school diploma or GED
  • 3 years of experience in related field
  • Knowledge of EHR and basic Medi-Cal terminology.
  • Knowledge of Microsoft Excel and Outlook.
  • Experience working with Native American population in a healthcare setting 2+ years preferred.

Responsibilities

  • The Clinic Clerical Specialist plays an essential role in the clinic's day-to-day operations by providing administrative and clerical support, with a primary focus on chart preparation and ensuring that all necessary patient documentation is readily available for upcoming appointments.
  • This role requires excellent organizational skills, attention to detail, and the ability to work collaboratively in a fast-paced environment.
  • The Clinic Clerical Specialist will be expected to coordinate with Medi-Cal assistants, LVNs, and providers to ensure that charts are complete and properly prepared ahead of patient visits.
  • Key responsibilities include reviewing each patient's chart to determine the reason for their upcoming appointment.
  • Based on this, the specialist will ensure that all required forms, test results, Medi-Cal histories, and other relevant documentation are printed, organized, and accessible.
  • They will utilize various portals to access and compile patient records, ensuring that all necessary information is included for the provider's review.
  • In addition to chart preparation, the specialist must maintain a high level of confidentiality and handle sensitive patient information with the utmost discretion.
  • Protecting patient privacy while accessing and managing health information is a critical part of this role.
  • Clear, consistent, and professional communication with the clinic staff, patients, and providers is essential to ensure smooth workflow and effective patient care.
  • The Clinic Clerical Specialist will also be responsible for ensuring that all Health Effectiveness Data and Information Set (HEDIS) measures are documented and ready for review at the time of the patient's appointment.
  • This involves staying up-to-date with the specific requirements for each provider and understanding the various Medi-Cal standards and benchmarks used for patient care evaluation.
  • This position requires the ability to prioritize tasks effectively in a dynamic and sometimes high-pressure environment, with a strong focus on maintaining the highest standards of accuracy and efficiency.
  • The Clinic Clerical Specialist must also demonstrate a strong alignment with the health center's mission and objectives, fostering a positive, supportive atmosphere with both staff and patients.
  • Other duties may be assigned as needed, and the individual in this role should be adaptable to changing priorities within the clinic setting.
