Role Overview: Under the guidance of the Contracts Manager and in close partnership with the Business Unit Manager, the CSS role will work with the Finance Department. This role provides essential administrative support to multiple district offices within the assigned region, ensuring smooth and accurate flow of information. This allows field personnel to focus on their projects and customer interactions, enhancing overall efficiency and effectiveness.

Requirements

  • Minimum of 2 years of relevant experience in sales support & order administration.
  • Strong customer service, interpersonal skills and time management skills.
  • Excellent communication skills, both verbal and written.
  • Proficiency with NetSuite or similar CRM systems.
  • Associate’s degree or equivalent business experience required.
  • Detail-oriented with excellent organizational skills and the ability to handle multiple tasks.
  • Positive attitude and professionalism in challenging situations.
  • Proficient in MS Office and ERP systems.
  • Strong problem-solving skills to effectively resolve discrepancies.
  • Discreet and tactful in handling confidential information.
  • Professional appearance.
  • Willingness to travel as needed, less than 5% of time.

Responsibilities

  • Offer enthusiastic support and interface with customers throughout the order entry process.
  • Initiate and review contracts as specified by the Contracts Manager.
  • Approve projects and create sales orders.
  • Oversee the transfer of equipment to projects.
  • Assist customers after the sale with additional inquiries and collection of required documentation.
  • Work with the sales team to handle customer credit applications, vendor applications, and prequalification documents.
  • Create and review customer records, both parent and child relationships.
  • Support regional purchasing activities and manage relationships with preferred vendors.
  • Approve purchase orders as needed.
  • Provide logistical support for meetings, events, lodging, and emergencies.
  • Serve as a liaison for insurance certificates, OCIP (Owner Controlled Insurance Program), Workers' Compensation, and other related programs.
  • Aid in generating and managing reporting dashboards using NetSuite and other tools to track progress.
  • Coordinate with Regional Operations on administrative tasks such as fleet management, office supply ordering, and insurance documentation.
  • Offer travel and project support during emergency situations.
